Student Conduct Support Manager
Under the general supervision of the Associate Dean of Students, The Student Conduct Support Manager provides guidance to ensure the effective functioning of Office of the Dean of Students (ODoS) and alignment with University policies. The role leads end-to-end administration of student disciplinary files (academic and non-academic)—including interim orders, disciplinary interviews, hearings of the Committee on Student Discipline (CSD), and appeals, and serves as the primary operational liaison with the Secretariat for scheduling hearings of the CSD and Appeals Committee.
In collaboration with the Office of the Associate Provost Student Life and Learning (OAPSLL) Communications, the role supports ODoS communications and digital engagement, oversees major awards portfolios, manages University commemorative events, and delivers high-quality administrative, compliance, and reporting support. By safeguarding sensitive documents to protect personal information, managing reporting, maintaining timely follow-ups, and fostering collaboration across Student Life & Learning (SLL) and other units, the position strengthens ODoS's impact and advances McGill's mission of student success and wellbeing.
The Manager also directly supervises administrative staff.
Key Responsibilities
Student Disciplinary Administration
- Develop and maintain a centralized tracking system for all disciplinary files that require ODoS involvement (i.e. academic cases at the CSD and Appeals level and all non-academic cases), ensuring complete, accurate records and timely follow-up at each stage (intake, investigation, disciplinary interviews, CSD hearings, appeals).
- Act as ODoS's operational point of contact with the Secretariat for scheduling of CSD and Appeals Committee hearings: manage timelines, ensure documentation transfer, and ensure procedural compliance.
- Under the supervision of the Associate Dean of Students, assists with dossiers requiring External Assessors: refer cases.
- Develops standardized processes, templates (interim orders, calls to interview, dispositions, other notices), procedures, and checklists to ensure fairness, consistency, and due process across cases.
- Monitor and enforce policy adherence (e.g., Code of Student Conduct and Disciplinary Procedures, related policies), flag risks, and recommend mitigations.
- Prepare annual disciplinary reports and analytics (e.g., case volumes, timelines, outcomes, appeals) for ODoS leadership and governance bodies.
Communications & Digital Engagement
- In collaboration with OAPSLL Communications, lead ODoS communications and digital channels (website, chatbot, key messaging) to ensure accurate, timely, and accessible information aligned with university guidelines.
- Maintain and update the ODoS website for accuracy, clarity, and coherence with McGill policies; collaborate with OAPSLL communications for consistent messaging.
- Manage the ODoS chatbot in collaboration with IT: curate content, validate responses, and monitor performance; update regularly to reflect current services and policies.
- In collaboration with OAPSLL, promote ODoS initiatives within Student Life & Learning (SLL) and across campus;
Awards Management
- Oversee the administration of major student awards (e.g., Rhodes, Forces AVENIR, Mary H. Brown), managing the full lifecycle: liaison with funding bodies, calls for applications, selection committees, review processes, recipient communications, and compliance with eligibility/reporting requirements.
- Create annual awards calendars, selection rubrics, and communications plans; track metrics (applications, selections, deadlines).
Event Coordination
- Serve on planning committees for institutional commemorative events ( ie: International Holocaust Remembrance Day and CCIQ Mosque Massacre commemorative lectures); collaborate with leading scholars and institutional partners.
- Plan and execute logistics for ODoS trainings, workshops, commemorative and student-facing events in partnership with SLL and central communications; ensure events align with ODoS and institutional objectives and enhance student engagement.
Administration & Reporting
- Provide high-level administrative support to the Dean and Associate Dean: preparing briefings and attending relevant meetings (on behalf of or alongside leadership).
- Generate and analyze reports from Phoenix and other systems to support decision-making and operational efficiency (disciplinary, awards, communications, and service metrics).
- Ensure compliance with institutional and regulatory requirements (privacy, records retention, accessibility, health & safety).
- Directly supervises the Muslim Student Affairs Liaison (MSAL) and Jewish Student Affairs Liaison (JSAL), ensuring coordinated student outreach, programming, and equity-focused support aligned with institutional priorities.
- Meet regularly with team, assign objectives, priorities and deadlines, verify work, participate in hiring with HR, complete performance reviews and approve vacation and absences.
- Supervise administrative staff, ensuring timely and accurate triage of incoming emails, service requests, and referrals; set service standards and monitor workload distribution.
Stakeholder Collaboration
- Serve as ODoS's operational liaison with Secretariat (discipline), Disciplinary Officers (faculties, residences, athletics), Student Advocacy, IT, Institutional Communications, Accessibility/Equity units, and other campus partners.
- Facilitate cross-unit alignment to reduce friction points (e.g., consistent timelines, documentation standards, messaging).

- Must be self-motivated, empathetic, approachable and self-directed with a demonstrated ability to take responsibility and deliver results with minimal direction and oversight.
- Excellent written and verbal communication skills and ability to work independently and collaboratively with people from different functional areas and levels.
- Demonstrated planning, administrative, and organizational skills with an ability to prioritize tasks.
- Experience with event planning and organization.
- Demonstrated ability to build and maintain constructive and effective relationships with all stakeholders, both internal and external.
- Ability to work under pressure, meet tight deadlines, and effectively handle changing priorities.
- Experience developing communication material adapted to different populations and platforms.
- Experience with social media and website management and/or graphic design is an asset.
- Ability to share information in a collaborative and effective manner.
- Familiarity with McGill University's Code of Student Conduct and Disciplinary Procedures an asset.
- Experience working in a university context is considered an asset.
- Proficiency in both English (spoken, read, and written) and French (spoken) is essential.
- Demonstrated ability to work in a PC environment using word processing, spreadsheets, and data management systems. Experience with Microsoft 365 solutions and tools and virtual meeting and communications platforms (MS Teams, Zoom).
