Office Assistant

When you join the growing BILH team, you're not just taking a job, you're making a difference in people's lives. This position will be based on-site in Charlestown, MA. It is a part-time position for ~20hrs/week.

The Office Assistant provides administrative and clerical support to designated departments or teams and assists with various support tasks, including project tracking, processing invoices, managing expense reports, mail distribution and management, and general office support. The Office Assistant may assist with other activities and responsibilities as identified by the respective team.

Job Description:

Essential Duties & Responsibilities including but not limited to:

  • Provides office support and customer service, which may include answering phones, opening mail, and other clerical tasks.
  • Takes accurate messages or directs the call to the appropriate person.
  • Responds to requests in office or via email in a timely manner and provides clear, accurate information within the scope of knowledge and authority.
  • Provides support with scheduling meetings and calendar management, as needed.
  • Acts as liaison with other departments and external customers in a professional manner.
  • Handles confidential information appropriately and explains policies and procedures, when necessary.
  • Collects checks or other forms of payment and ensures they are routed to the appropriate person and/or location.
  • Collects and distributes mail, correspondence or other documents.
  • Prepares and distributes routine reports.
  • Organizes and maintains files and records. Follows up on pending matters.
  • Recommends changes in office processes and procedures to improve efficiency and service.

Minimum Qualifications:

  • Education: High School diploma or GED required
  • Experience: 0-1 years of related work experience
  • Skills, Knowledge & Abilities: Strong communication skills. Ability to display creativity, exercise sound judgment, and demonstrate initiative. Organized with high attention to detail. Collaborative to work with multiple stakeholders and various colleagues. Basic computer skills including Microsoft office
