Responsibilities

Functions as the dispatcher in a high-volume service department. Utilize the current dispatch board to coordinate T&M, quoted and PM maintenance work orders. Manage internal and external customer calls. Schedule all preventative maintenance appointments each month with internal and external customers. Create purchase orders for materials required for preventative maintenance contracts. Respond to all messages and emails left overnight. Proof technicians' tech notes. Contact customers with a "Parts Pending" status as parts are received for scheduling. Follow up on all pending and recommended work with customers utilizing the pending work log. Maintain and monitor log for work-in-progress. Maintain the maintenance agreements including billing assist, scheduling, and staging of materials, database information, customer hard files, and renewals in coordination with client support manager. Maintain accurate material lists for all preventative maintenance contracts—communicate with technicians to update list after calls. Schedule deficiency reports with external customers. Update customer files as information is received from installation. Maintain customer history files in database. Email and save service reports/photo reports for every service call completed. Update service log from service ticket. Compare service timecards and work orders to service schedule for payroll. Scan and receive all P.O. invoices and packing slips into database system. Run P.O. reports, research and clear purchase orders to assist purchasing. Assist Service Coordinator working in Corrigo and other 3rd party applications to update work that has been completed. Other duties assigned by Service Manager or Service General Manager.

What You'll Need to Succeed

Advanced customer service and communication skills. Critical thinking and problem-solving ability. Ability to handle multiple tasks simultaneously. Advanced computer skills. Organized and detail-oriented. Geographical knowledge of service area or map reading skills. Must pass required drug and physical tests. Valid driver's license and driving record meeting company policy. Clear background, previous employment, and reference checks. High school diploma or GED required; Bachelor's degree preferred. 2 years of related experience preferred.
