Management Support Specialist – Information Technology

The Management Support Specialist – Information Technology performs independently responsible and administrative work in support of the Office of the Chief Information Officer (CIO). This position reports to the Chief Information Officer (CIO). Essential functions include planning, organizing, and coordinating various projects, programs and services involving diverse administrative operations; maintaining the CIO's schedule, evaluating requests, and determining priorities; coordinating and scheduling hybrid and in-person meetings for internal and external parties; recording detailed meeting minutes during CIO Management Meetings and tracking associated action items and follow-ups; coordinating travel arrangements and related logistics; preparing sensitive and confidential reports and communications; overseeing weekly time submissions and approvals within the Office of the CIO; coordinating small purchases for IT-related equipment and services; performing detailed fact gathering, data compilation, and report writing on budgets, staffing, operations, and administrative systems; analyzing and improving management processes to enhance workflow efficiency and reduce operational costs; coordinating and preparing operating reports (e.g., time and attendance, staffing changes, budget expenditures, performance data); preparing and presenting reports with conclusions and recommendations for administrative improvements; receiving and channeling internal requests and complaints, following up on corrective actions, and ensuring responses are provided; preparing, monitoring, and controlling annual budget submissions; providing status updates on expenditures and projects; issuing and interpreting operating policies; representing the CIO and managerial staff in meetings when they are unavailable; reviewing and summarizing memoranda and reports, offering recommendations; coordinating schedules for multiple professional/management staff and arranging meetings with external parties.

Work environment and physical demands include a business casual office environment. Required knowledge, skills, and abilities include the ability to write clear, concise reports, memoranda, directives, and letters; ability to multitask in a high-paced environment; ability to establish and maintain effective working relationships with internal and external contacts; thorough knowledge of public administration principles and practices; strong understanding of budget preparation and control; proficiency in data gathering, analysis, and reporting; ability to develop comprehensive plans with minimal supervision; ability to plan, assign, and supervise the work of others; strong interpersonal skills for handling public inquiries and complaints tactfully and effectively.

Minimum education, experience requirements include a bachelor's degree and 3+ years of responsible professional or supervisory experience in public administration or business management OR a high school diploma and 7+ years of responsible professional or supervisory experience in public administration or business management. Additional requirements include completion of the WSSC Water Financial Disclosure statement within 30 days of employment and annually thereafter. Preferences include advanced proficiency in Excel, PowerPoint, and Visio; proficiency in Microsoft Project; experience with project tracking tools and methodologies; advanced use of Teams, Zoom, and WebEx for scheduling and hosting meetings.

Salary: $76,144 - $129,651
