CTY Student Support Administrator

Founded in 1979, the Johns Hopkins Center for Talented Youth (CTY) is a center for innovation dedicated to advancing the field of gifted education through research on testing, programs, and other supports for advanced learners. On the premise that advanced learners come from every community and every demographic, we aim to understand and inform how these students need to be nurtured to achieve their full potential as learners and global citizens. CTY also runs in-person and online academic programs for bright learners in order to cultivate a community of advanced learners and connect students in and outside the classroom. We are seeking a CTY Student Support Administrator who will function as CTY's student disabilities services administrator, guide ADA compliance in CTY student programming, and be responsible for non-medical administration of CTY's student health and wellness programming. The person in this role is responsible for managing processes and procedures across health, wellness and disabilities service areas. This individual is solely responsible for reviewing student accommodations requests and developing and disseminating accommodations plans related to identification testing, online learning, in-person classrooms and residence life settings.

Specific Duties and Responsibilities

Serve as CTY Student Disabilities Services Administrator

  • Evaluate and monitor disability compliance with ADA/ADAAA/Section 504 of the Rehabilitation Act, IDEA, and other applicable Special Education laws and regulations as they relate to CTY students with disabilities.
  • Administer the student disability accommodation process for all aspects of CTY's student programming: identification testing, online learning, in-person classrooms, and residence life settings. Collect and review required documentation, conduct the interactive process with families and CTY departments, determine accommodations, and disseminate accommodation plans.
  • Communicate with clinicians about the standards, content and interpretation of clinical data about students' ability to participate in CTY programs and activities.
  • Communicate with families about CTY program disability eligibility standards, such as anticipated differences between their present setting and the CTY program, maturity expectations, self-advocacy, academic standards, and CTY and University accommodation policies.
  • Monitor and troubleshoot the implementation of accommodations to assure student or staff member satisfaction with any aspect of the accommodation process.
  • Negotiate alternative resolutions to unusual situations related to disability issues.
  • Support CTY departments on implementing accommodations
  • Recruit, hire, and set standards for interpreters, readers, and other providers.
  • Arrange provisions of adapted materials and assistive technology as required and train staff.
  • Train staff on specific strategies as needed.
  • Advise staff with challenges in working with a student.
  • Provide accessibility support across program modalities

    • Provide accessibility guidance and administrative support in course material production and content development.
    • Apply and expand knowledge of accessibility standards, including WCAG 2.2 Level AA, to ensure compliance in course materials.

    Manage CTY's student health and wellness programming (non-clinical)

    • Oversee operation of CTY's health and wellness programming at day and residential sites
    • Work in consultation with JHU OGC and JHU Student Health and program staff to ensure that CTY's health policies and procedures are aligned with applicable regulations for each site location. These matters include health staffing requirements, standing orders
    • Liaise with CTY HR on health office staffing matters.
    • Annually engage independent contractor to advise on behavioral health matters at program sites:
    • Serve as Subject Matter Expert on health and wellness staff training, to include annual review and update of manuals, policies, and procedural documentation.
    • Ability to create and facilitate virtual training.
    • Support family communication about health policies and procedures.
    • Annually and update all relevant assets (emails, web site content, knowledge base articles, canned responses site information templates, etc.)
    • Provide annual training to front-line CTY Family Engagement and Enrolment Staff on health-related matters.
    • Handle escalated questions, to include conducting research and consulting with JHU resources.
    • Manage CTY's Electronic Health Record System
    • Serve as system administrator for electronic health system.
    • Annually review and update electronic health forms, including consents.
    • Work cross-functionally as needed (with CTY/JHU departments) and with external vendors (currently CampDoc) to manage contracts, troubleshoot issues, and implement system enhancements.
    • Ensure that records at appropriately archived at the end of each session.
    • Manage CTY Health Form Review
    • Define health form review staffing needs
    • In collaboration with CTY HR as appropriate, recruit, hire, train and supervise health form reviewers on health form platform and review process.
    • Annually review and update health form review FAQs.
    • Annually review and update vaccine processes.

    Supervisory Responsibility

    Supervise 2-4 casual, seasonal health form reviewers. May supervise other casual, seasonal support staff involved in non-clinical aspects of disabilities, health and wellness services.

    Special Knowledge, Skills, and Abilities

    Strong program administration skills; ability to build and manage complex processes and procedures. Knowledge of 504/ADA and IDEA laws as they relate to students. Strong ability to work cross-functionally in a complex organization: Ability to interact effectively with diverse internal and external clientele Strong written and oral communication skills. Effective working under pressure, and able to execute quickly and efficiently Ability to make decisions regarding when to seek additional guidance. Ability to balance administrative responsibilities with transactional tasks. Comfortable with digital platforms and ability to develop proficiency with new systems quickly. Ability to use Microsoft Office suite.

    Additional Information

    Requires evening and weekend hours when programs are in session. Visits to in-person sites may be necessary. Nights and weekends may be necessary during peak times.

    Minimum Qualifications

    Bachelor's Degree in Education, Higher Education, Student Personnel, Disability studies or related field. Five years related experience. Additional education may substitute for required experience and additional related experience may substitute for required education beyond a high school diploma/graduation equivalent, to the extent permitted by the JHU equivalency formula.

    Preferred Qualifications

    Experience in both online and face-to-face education settings. Experience in a disability services position. Experience with the nonmedical administration of a camp or school health program healthcare administration.
