Academic Support Services Specialist

The University of Maryland Baltimore School of Medicine, Department of Neurology, is seeking an Academic Support Services Specialist to join our Education Division. The Department of Neurology provides evaluation, treatment, and care for patients suffering from a wide range of neurological disorders including stroke, epilepsy, multiple sclerosis, Parkinson's disease, amyotrophic lateral sclerosis (ALS), and migraine. We provide care through our inpatient and consultative services, our designated Comprehensive Stroke Center, our Level 4 Epilepsy Center, our 22-bed Neuro-Critical Care Unit, and our busy outpatient practice. The Department also provides state-of-the-art rehabilitation services. A number of departmental faculty received grant funding from the National Institutes of Health and the Veteran's Administration to study the role of genetics in stroke, epilepsy, and Parkinson's disease, new brain imaging modalities in multiple sclerosis, biomarkers in multiple sclerosis, and neurodevelopmental disorders such as autism and intellectual disability. Many faculty are lead investigators in clinical trials to identify new therapeutic approaches for a broad range of neurological disorders.

Primary Duties

  • Coordinate full administrative and operational activities of an academic program, with interrelated activities of other programs, departments, or staff to ensure optimum efficiency and compliance with appropriate policies and procedures
  • Develop, compile, and write program coursework communications and promotional literature for distribution, such as newsletters, brochures or flyers. Ensures materials are accurate and accessible.
  • Organizes clinical or internship site assignments. Arrange clinical or internship supervision at clinical or internship site by assignment of faculty or preceptor. Ensure evaluation process is in place and each student receives.
  • Reconcile departmental budgets and oversee payment of all departmental expenses including payment of student workers, guest artists, guest speakers, departmental and office supplies, etc.
  • Prepare periodic reports, financial statements and records on academic program activities, progress, status or other special reports for management or outside agencies.
  • Communicates and responds to student questions and concerns; works with students to resolve all issues to ensure ongoing satisfaction with program and successful progress to completion.
  • Coordinate administrative processes involved in supporting academic programs which typically include recruitment, selection, admission, registration, orientation, and progression of students, residents, or participants. Confer with and advice staff, students and others to provide technical advice, problem solving assistance, answers to questions, and provides policy interpretation. Refer issues to appropriate department person when unable to respond.
  • Serves as a liaison between students, residents, or faculty and department staff regarding payroll, benefits, reimbursements, and other administrative matters. Assists with travel, housing, and visa requirements.
  • Provides administrative support to the assigned department, school or program with recruitment, selection, admission, registration, and orientation. Determines customer service strategy and provides follow-up with occupants in designated areas.
  • Enhance student experience by arranging extracurricular seminars, study sessions, or workshops. Performs other duties as assigned.

Minimum Qualifications

Education: Bachelor's degree

Experience: Two (2) years of administration of a program, preferably in higher education or healthcare setting.

Certification/Licensure: N/A

Other: Clery act designated job as campus security authorities (CSA) member and will comply with Clery Act requirements. Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 undergraduate college credits being equivalent to one year of related experience. In instances where specific education and/or experience is required only directly related education and/or experience may be substituted.
