Role Overview:

As the Multi-Property Sales Coordinator, you will focus on providing administrative and operational support to the sales team across The Westin and Four Points by Sheraton and outlets. This role involves coordinating the sales process, managing client inquiries, and assisting with the preparation of contracts, proposals, and presentations. The Complex Sales Coordinator maintains accurate records in the customer relationship management (CRM) system, ensures timely follow-ups with clients, and supports the team in meeting revenue goals. Additionally, they liaise with other departments, such as events and reservations, to ensure a seamless client experience from initial inquiry to execution. Strong organizational, communication, and multitasking skills are essential, along with a proactive approach to problem-solving and supporting the overall sales strategy. This role is critical in streamlining sales operations and fostering positive client relationships.

Key Responsibilities:

  • Respond to telephone inquiries and direct follow up to the appropriate team member
  • Assist with administration for the Sales Team, with contracts, payments, invoicing
  • Ability to assist and coordinate entertainment, sites and famils, manage large entertainment projects and assist in coordination of trade shows.
  • Assist in the maintenance of databases, ensuring account, contact and booking profiles are updated daily and are accurate per the Marriott International standards
  • Take MICE phone enquiries, qualify leads and distribute to the sales team. Prepare basic catering proposals where needed.
  • Assist with MICE and Special Corporate contract administration including preparation, invoicing, processing deposits, GDS load forms, CI/TY activities
  • Maintain and have data accuracy in systems such as, but not limited to: CI/TY, MI Leads, Opera
  • Be thoroughly conversant with all hotel rooms packages, pricing and promotional offers.
  • Maintain current and accurate knowledge of Hotel events and events happening in our surrounding area
  • Manage the service express function for the hotel to monitor all incoming and outgoing calls

About You:

  • Strong organizational and multitasking skills, with the ability to manage large volumes of bookings and ensure efficiency
  • Previous hotel sales department experience is a plus
  • Must have a relevant diploma or higher, or hold at least 2 or more years relevant experience
  • Thrive on direct engagement with a vision to grow and develop yourself and the business
  • Be results driven and have a demonstrated ability to achieve targets
  • Exceptional interpersonal, negotiation and presentation skill
  • The ability to work under pressure and meet deadlines
  • The highest level of professionalism and presentation
  • Must have passion & attitude with keen attention to detail and strong problem solving skills
  • Exceptional communication and interpersonal skills, enabling effective collaboration with guests, team members, and other departments
