Office Administrator/Coordinator (HR)

We are seeking a motivated Office Administrator/Coordinator to join our team. This individual will play a critical role in supporting daily operations, accounting, HR functions, and front office responsibilities. The role requires strong organizational skills, attention to detail, and excellent customer service.

Location: Carlsbad, CA

Schedule: Monday – Friday, 8:00 AM – 5:00 PM (1-hour lunch)

Pay Range: $22.00 – $26.00 per hour DOE

Department: Human Resources/Finance

Reports To: HR Manager

Anticipated Start Date: September 12–15, 2025

Duties and Responsibilities

  • Coordinate the full-cycle recruiting process, including job postings, scheduling interviews, and managing new hire orientation.
  • Manage company training files, including new hire and ongoing training, updating programs as needed, and maintaining compliance with the Training Matrix for HSE & Document Control.
  • Manage front desk operations, assisting employees, visitors, and customers.
  • Provide excellent customer service to employees with HR-related questions and concerns, fostering a positive workplace.
  • Assist employees and visitors with building access badges.
  • Coordinate employee appreciation and engagement programs/events.
  • Create customer invoices, verify pricing and quantities, and resolve discrepancies.
  • Support the Accounting Department with billing, credit card orders, and credit memos.
  • Perform additional administrative tasks as assigned.
  • Maintain a safe and positive working environment.

Skills and Qualifications

  • 2–4 years of experience in an HR-related role, or an Associate's degree with an emphasis in HR and 1 year of related experience.
  • Proficiency with Microsoft Office applications (Excel, Outlook, PowerPoint, Word, SharePoint); HRIS experience highly preferred.
  • Strong communication skills with the ability to interact at all levels of the organization and with visitors/customers.
  • Ability to maintain confidentiality and demonstrate ethical behavior.
  • Bilingual in Spanish desired but not required.
  • Strong organizational skills, a positive attitude, and the ability to multitask.
  • Knowledge of current federal and state employment laws and regulations.
