The Role
You'll be responsible for:
- Scheduling, Capacity & Delivery Control: Own the master audit calendar: book audit dates (managing auditor and client calendars), confirm attendees, manage time-zones, and prevent clashes.
- Resource plan across the internal + freelance auditor pool; send timely briefs, holds and confirmations.
- Track status to SLA (e.g., scheduled → fieldwork → report draft → final) and unblock delays fast.
- Client Onboarding & Customer Success: Run a crisp onboarding checklist (contracts, NDAs, access, evidence list, timelines, key contacts).
- Serve as a calm, reliable point of contact for logistics; coordinate post-audit follow-ups and next steps.
- Keep customer comms tidy: confirmations, reminders, "what to expect," and closure notes.
- Auditor Operations, Invoicing & Payments: Manage auditor assignments, brief creation and distribution and deliverable deadlines.
- Raise and reconcile invoices, collect POs where needed, run payment cycles to auditors, and keep records clean.
- Partner with leadership on collections hygiene (e.g., gentle chasers, accurate billing data).
- Operational Infrastructure & Continuous Improvement: Maintain and improve SOPs, checklists, templates (from booking through reporting & billing).
- Keep shared folders, trackers and naming conventions clean; uphold data hygiene.
- Produce a lightweight weekly ops snapshot (what's scheduled, risks, completed, cash items) to keep everyone aligned.
- "Plus" Projects (as time allows): Support ad-hoc growth initiatives (e.g., streamlining intake forms, improving time-to-schedule, simple partner ops).
The Person
Experience in operations / project coordination / delivery (services, consulting, SaaS, or similar). Evidence of owning schedules, vendors/freelancers, timelines and checklists end-to-end. Detail-obsessed, organised, and calm under pressure; writes clear emails and next-step notes. Comfortable with spreadsheets and basic invoicing workflows; numbers-literate for reconciliations. Proactive "see it, sort it" mindset; improves the process while shipping today's work.
