Sales Coordinator

The Sales Coordinator is responsible for supporting the sales team and ensuring the seamless execution of sales efforts under the direction of the Sales Manager. This role involves coordinating administrative tasks, assisting with group and event logistics before, during, and after events, and providing exceptional service to clients. The Sales Coordinator works closely with Sales Managers and other departments to facilitate smooth communication and efficient operations.

The Sales Coordinator reports directly to the Sales Manager. Reporting lines may be adjusted at the company's discretion due to departmental restructuring or temporary leadership changes.

The ideal candidate must demonstrate the following knowledge, skills, and abilities and be able to perform essential job functions with or without reasonable accommodation:

  • Proficiency in English (written and spoken); additional languages are a plus.
  • Strong interpersonal and communication skills with a dynamic and professional demeanor.
  • Ability to thrive in a fast-paced environment, with a proactive and adaptable approach.
  • Excellent administrative and computer skills, including proficiency in Microsoft Office Suite and sales-related software.
  • Understanding of financial data related to sales, contracts, and event budgets.
  • Ability to work well under pressure and effectively handle guest inquiries, concerns, and disputes to ensure satisfaction.

Ensure adherence to brand standards in all sales and guest interactions.

Ensure compliance with all health and safety regulations.

Be fully knowledgeable about hotel facilities, services, and activities.

Consistently deliver exceptional guest service and ensure positive client interactions.

Perform additional duties as assigned by the Sales Manager or Department Head.

Attend scheduled departmental and hotel-wide meetings.

Maintain a positive, solutions-oriented attitude at all times.

Answer phone inquiries in a clear and professional manner, actively listening to callers and directing inquiries to the appropriate Sales Manager.

Collect detailed information about group bookings, including event type (e.g., weddings, corporate, leisure) and meeting space requirements.

Provide accurate and prompt responses regarding room availability, accommodation types, banquet facilities, and hotel services.

Manage the general and individual sales email inboxes, ensuring responses and follow-ups within 24 hours.

Maintain organized and up-to-date sales files, including contracts, room blocks, cut-off and release dates, invoicing records, and backup documentation.

Generate and distribute Group Resumes in a timely manner to ensure all departments are informed of group details.

Prepare Banquet Event Orders (BEOs) accurately and distribute them to the relevant departments.

Coordinate closely with other departments (Front Office, Reservations, Banquets) to ensure all guest arrangements, upgrades, and special requests are properly handled.

Monitor and manage banquet/meeting room assignments in accordance with contracts and client needs.

Oversee in-house group activities, offering assistance when necessary.

Assist in compiling reports on group function grids, sales production, inventory, sales activities, and post-event summaries.

Prepare and coordinate the distribution of welcome amenities for groups and VIP guests.

Oversee and coordinate group events from check-in to check-out, ensuring smooth communication between clients and departments.

Be present at key group functions to ensure all aspects of the event (banquets, catering, vendor coordination) are executed as planned.

Collect guest feedback post-event to assess the quality of services provided, offering insights for improvement.

Conduct site inspections for potential clients, showcasing guest rooms, meeting spaces, banquet facilities, and hotel amenities.

Maintain effective communication with all relevant departments to ensure guest expectations are met and exceeded.

Always act in the company's best interest with regard to minimizing costs, ensuring efficient allocation of resources.

Handle confidential information with strict discretion.

Foster a positive and stable work environment, taking pride in both the resort and the company while supporting a team of motivated, high-performing individuals.

Promote open and continuous communication across all levels, including senior leaders, peers, and direct reports.

Lead by example, demonstrating professionalism and integrity at all times.

Take the initiative to stay updated on industry trends, leadership, and hospitality practices through continuous learning, reading, and professional development.

While performing the duties of this job, the employee is regularly required to stand, walk, use hands to touch, handle, or feel, reach with hands and arms, talk, hear, and observe surroundings.
