Asset Management Operations Assistant

Role Description
Responsible for property control and reporting, the Asset Management Operations Assistant plays a key supporting role in the day-to-day administration of asset management activities. This includes contract handling, tenant communication, approval processes, municipal liaison, and coordination of key systems and documents. The role ensures operational efficiency, compliance, and smooth communication between internal teams and external stakeholders.
Key Responsibilities
- Contract Management
- Notify and follow up with tenants for required documents (e.g. bank deposits/guarantees)
- Support onboarding and compliance communication
- Updating memo's in the system
- Manage approval workflows for work orders, leases, business matters, and write-offs
- Liaise with Asset and Property Managers to settle related items
- Save, process, and transmit municipal assessments
- Coordinate with auditors on objections when necessary
- Generate rental statements for municipalities upon request
- Maintain document systems (SharePoint, Yardi, physical files)
- Assist our team in their administrative tasks – including archiving, document management and classification
- Ensure filing accuracy and document version control
- Schedule and prepare for bi-weekly Asset Manager meetings
- Track pending cases, proposal drafts, guarantee statuses, and Yardi checks
- Create and update templates for agreements, letters, and forms
- Assist with purchases and sales
- Support coordination with Acquisitions and Asset Management teams
- Review and update Property Management Agreements (PMAs) in consultation with the l team
- Chamber of Commerce Administration. Process changes related to directors, company addresses, professional licences etc.
- Management of energy data collection from tenants and implementation in Deepkie or Measurable systems for example
- Sending reminders to tenants to be able to collect consumption data
- Track and update the status of tenant bankruptcies in coordination with legal processes.
- Provide necessary documentation to valuers (legal, lease, and technical) for refinancing purposes.
- Assist in drafting and maintaining a mini data room.
Skills & Experience Required:
Fluent or native French & English
Strong organisational and administrative skills
Familiarity with contract processes and legal document handling
Team player who thrives in a fast-paced environment and can juggle multiple priorities simultaneously
Confidence in managing multiple stakeholders and deadlines, comfortable using digital tools (e.g. SharePoint, Yardi, DocuSign)
High attention to detail and ability to handle confidential information
Strong written and verbal communication skills
Able to adapt to a changing and evolving job role
Positive, proactive, can-do attitude and problem-solving skills
