Your new role

As a Commercial & Administration Support, you will play a key role in coordinating and executing administrative, documentary, and logistical tasks that support our commercial, medical, and promotional activities in Iberia.

Your responsibilities will include:

  • Managing the approval process of promotional and non-promotional materials, ensuring their timely review and validation in the Veeva system.
  • Collaborating with Product Managers on the implementation of promotional initiatives.
  • Communicating approved promotional materials to health authorities (e.g., Institut Català de la Salut).
  • Preparing monthly transparency reports to report medical investments.
  • Managing Veeva PromoMats for the loading, tracking, and approval of promotional materials.
  • Using Veeva Vault to manage promotional and non-promotional materials.
  • Supervising activities in Veeva CRM, including sponsorship requests, contracts, speaker services, and validations.
  • Creating and following up on activities in Veeva to facilitate delegate investment requests.
  • Managing contracts with healthcare professionals for scientific meetings, ensuring their correct loading in the corresponding platforms.
  • Coordinating the complete billing cycle, including purchase orders (POs), service tracking, invoice validation, and budget reconciliation.
  • Providing logistical support, such as sending documentation, confirmations, or modifications requested by speakers.
  • Creating and sending speaker contracts through DocuSign.
  • Verifying the information entered by delegates, ensuring its correct completion.
  • Assigning and managing internal codes for promotional materials.
  • Providing reception support when the responsible person is not in the office.

This position will allow you to collaborate closely with the Marketing, Medical Affairs, Compliance, and Procurement teams, ensuring the effective execution of projects aligned with Lundbeck's strategic objectives.

What you bring to the team

Are you ready to put your experience and skills at the service of a meaningful purpose? We are looking for a person with the following profile:

  • Education technical or professional post-secondary education in Administration and Finance or Marketing, or a university degree in a relevant field such as Business Administration or Marketing.
  • Experience minimum of 2 years in a similar position, preferably in the pharmaceutical or healthcare industry.
  • Strong organizational and coordination skills to manage administrative and logistical tasks efficiently.
  • Solid experience in managing the complete billing cycle, including purchase orders (POs), service tracking, invoice validation, and budget reconciliation. This ability will be essential to ensure precise financial operations and regulatory compliance.
  • Domination of platforms such as Veeva PromoMats, Veeva Vault, and Veeva CRM, which is a mandatory requirement and a key indicator of success in this position.
  • Excellent communication skills to interact with internal and external stakeholders.
  • Analytical skills to ensure transparency in reports, sustainability, and budget reconciliation.

Languages: Spanish and English (C1 level, common in international environments). Proficiency in Portuguese is required.
