Sales Coordinator

We are currently seeking a process-oriented, adaptable, and organized Sales Coordinator to join our team. This person should be a self-motivated, proactive, and detailed task master, as well as a quick analytical thinker adept with numbers, familiar with sales & accounting processes, and excellent at creating order out of chaos. Nothing should slip through the cracks.

What you'll do:

  • Ownership of the sales back-end process to maximize team bandwidth efficiency, minimize bottlenecks, and ensure accurate tracking and analysis by Commercial Planning, Accounting, Finance & management.
  • Work with Business Development and Partner Success to track the sales pipeline and forecast revenue, and regularly report to Commercial Planning.
  • Support sales to process clients' vendor registration requests, manage sellable products in Salesforce, request for credit terms, creating quotations, validating sales orders, invoicing customers, and assisting Accounting to ensure payment.
  • Track and monitor the execution timeline of deals post-sale to ensure timely execution and enable the team to proactively prepare for and solve issues before they occur.
  • Consolidate and manage all documents related to the Marketing Solutions team. Check the accuracy/correcting of documents related to billing, such as invoices, Sales Orders, and Purchase Orders.
  • Monitor the team's KPIs. Calculate and prepare monthly KPI achievement reports, calculate the correct sales commission rate, and prepare supporting documents for the accounting department, such as invoices and receipts, to be used for billing.
  • Create and deliver Margin and Net Profit Data Reporting to management. This involves gathering, preparing, and submitting a report that summarizes key sales performance metrics, and margin summary.

What you'll need:

  • 3-5 years of experience from Business Development, Sales Management, and/or Operations roles
  • Familiarity with e-Commerce and Digital Advertising is preferred
  • Hands-on experience in process design & improvement
  • Good business acumen, including basic PnL, accounting, legal, and tech concepts
  • Ability to work with speed, delivering completed tasks on time even when new tasks get unexpectedly added to the queue.
  • A preference for creating scalable processes, but also comfort with handling situations that fall outside the planned process.
  • Strong organizational skills; able to create structure inside complex environments.
  • Strong interpersonal skills; able to chase without offending, and push back without frustrating the many parties this role will work with, both internal and external.
  • Project management skills and experience leading cross-functional teams.
  • Familiarity with basic AI tools and a willingness to experiment to discover new ways to create efficiency.
