Operations Coordinator
Location: Onsite - Castro Valley, CA
Shift: 8am-5pm
Position Overview
The Operations Coordinator provides comprehensive administrative and operational support to department leadership and clinical teams within an inpatient hospital environment. This non-clinical role serves as a central point of coordination for unit communications, staffing workflows, scheduling, payroll support, and regulatory documentation. The role requires strong organizational skills, attention to detail, and the ability to function effectively in a fast-paced healthcare setting.
Responsibilities
- Serve as the primary point of contact for unit communications, including answering phones, managing inquiries, and greeting visitors
- Coordinate and maintain staff schedules, including staffing adjustments and coverage tracking
- Support payroll and timekeeping processes, including data entry, audits, and reporting
- Run and distribute electronic health record (EHR) reports as required by leadership
- Coordinate patient flow activities, including admissions, transfers, and discharges (administrative support only)
- Maintain accurate records to support regulatory and compliance standards, including licensure and credential tracking
- Assist with staff onboarding, personnel file maintenance, and documentation management
- Support department leadership with confidential administrative tasks, meeting coordination, and correspondence
- Manage department supplies and equipment tracking, including vendor coordination as needed
- Ensure accurate documentation and adherence to hospital, state, and federal requirements
Qualifications
- High School Diploma or equivalent (Associate degree or coursework in Medical Terminology preferred)
- Minimum 6 months of administrative or secretarial experience in a healthcare setting
- Experience working with electronic health records (EHR) and generating reports
- Experience supporting scheduling, staffing coordination, and payroll processes
- Proficiency with KRONOS timekeeping, ANSOS scheduling, and Microsoft Office Suite
- Typing speed of 60+ WPM with at least 90% accuracy
- Strong knowledge of medical terminology
- Demonstrated ability to maintain confidentiality and support regulatory compliance
- Strong verbal and written communication skills with the ability to coordinate across multidisciplinary teams

Pay Details: $25.00 to $30.00 per hour
