Job Description
Your Responsibilities:
Procurement and Supplier Management
- Ordering: Independently manage the ordering process for the Analytical Services department, ensuring timely and cost-effective procurement of laboratory chemicals, equipment, and supplies.
- Interface Communication: Work closely with the Purchasing, Warehouse, and Finance departments, and track deliveries and distribution of items to various departments.
- Quotation Management: Obtain and review quotes, including communication and price negotiation with sales representatives.
- Master Data and Contracts: Set up and maintain order items in the ERP system (IFS) and prepare annual quotes for consumable items.
- Quality Assurance: Conduct annual supplier assessments for the department independently.
Equipment Management and Laboratory Organization
- Calibration Logistics: Organize the shipment logistics for qualification-required equipment (e.g., pipettes, weights) to ensure uninterrupted and compliant laboratory operations.
- Deadline Monitoring: Monitor calibration and maintenance intervals using the "Critical Instruments List" and proactively remind relevant departments of upcoming qualifications and maintenance.
- Standard Management: Oversee the expiration dates of pharmacopeial standards (USP, EP standards) and arrange for timely disposal to prevent analytical deviations.
Training and Administration
- Training Management: Coordinate the training activities of the entire department. Support employees in creating and updating training plans and follow up on pending activities.
- Documentation: Prepare, track, and archive training and effectiveness documentation.
- Reception and Guest Care: Provide professional reception in building TGZ II and care for guests, applicants, and new employees (including room reservation and catering).
Taking on additional tasks as directed by the supervisor.
Qualifications
What You Bring:
- Education: Successful completion of a commercial education (e.g., industrial clerk, office management clerk) with a strong affinity for natural science subjects OR a completed natural science education (e.g., chemical laboratory technician, CTA) with demonstrable commercial and administrative experience.
- Professional Experience: Solid practical experience in ordering, material management, or laboratory organization, ideally in a chemical or pharmaceutical environment.
- Technical Knowledge: Good basic understanding of laboratory operations, laboratory equipment, and chemicals. Experience with GMP requirements or pharmacopeial standards (USP, EP) is a great advantage.
- IT Systems: Confident use of common MS Office applications and routine use of ERP systems (first-hand experience with IFS is desirable).
- Work Style: A high degree of self-organization, a very structured and meticulous approach, and a strong reliability in monitoring deadlines (e.g., for training or equipment qualification).
- Personality: A friendly, binding demeanor (important for reception and guest care), pronounced service orientation, strong communication skills, and enjoyment of working in a team.
- Language Skills: Very good German language skills in speech and writing are required, as well as sufficient English language skills for communication in the international company environment.
