Sales & Catering Coordinator

The Sales & Catering Coordinator is responsible for performing clerical, administrative and other duties to assist in the smooth operation of the Sales and Catering Department. He/she is also responsible for the finalization and processing of Catering details for upcoming banquet events.

Responsibilities include distributing leads and maintaining lead log, controlling PO's and check requests, completing all "Month End" reports for the Director of Sales, filing all pertinent correspondence in a timely manner, typing all correspondence pertaining to Sales, such as proposals, contracts, Banquet Event Orders (BEO) banquet checks and Daily Event Sheets, etc., handling all outgoing mail for the department, initiating and following up on leads as directed by the Director of Sales, being familiar with banquet menu offerings and pricing, being familiar with hotel function spaces, their capacities and hotel service limitations, maintaining Lost Business log, responsible for loading RFP's (Request for Proposals) that the company has accepted, responsible for daily routing of information to necessary departments, responsible for maintaining RFP log, reviewing all incoming leads received from the GHCVB, GICVB and other sources – assign to appropriate Sales Manager, checking the voice mail and directing the phone calls to the appropriate person for the Galveston Island Convention Center Voice Mail at least four times daily, preparing daily Mail Cash receipts log, endorsing and dropping all checks received through the mail on a daily basis, maintaining an adequate inventory of complete Convention Sales Kits and menus, taking phone inquiries, and maintaining Trace file.

Qualifications include Education & Experience: High School diploma or equivalent and/or experience in a hotel related field preferred. Tipped Position This position does not earn tips.
