Lead Medical Support Assistant
This position is located at the Robley Rex VA Medical Center. The Lead Medical Support Assistant is responsible for answering questions for lower graded staff relating to healthcare services in an inpatient or outpatient setting. The Lead Medical Support Assistant monitors and makes work assignments, provides input on performance, resolves daily workplace issues, maintains efficient workflow, and creates a positive work environment. There may be times when you will be covering specialty clinics based upon staffing needs. Responsibilities include but are not limited to:
- The Lead Medical Support Assistant is responsible for daily workload assessments, assigning work, and assuring proper staffing coverage.
- Evaluating training records and determining training needs of MSAs to provide support across interdisciplinary settings.
- The Lead assists the unit with clinical flow processes related to access to care across multiple clinics and/or specialties.
- Assignments at this level include but are not limited to ensuring accurate and timely processing of Return to Clinic Orders, Consults, and Leaf Requests; providing guidance to staff members, to include changes in policies and procedures, creating and maintaining employee work schedules; and acting as a liaison among Advanced MSA staff, MSA staff, patients, and other interdisciplinary staff to resolve day to day conflicts.
- The Lead MSA provides comprehensive, detailed, on the job training to all new MSA personnel. At this level, the Lead MSA monitors, tracks, assigns, processes, and audits urgent and non-urgent clinic modifications, activations, and cancellations.
- Establishes priorities for the area and consults with the supervisor on complex and/or unusual issues. Serves in a role that delegates priorities and schedules necessary coverage for absent staff members.
Work Schedule: 8:00am - 4:30pm, Monday - Friday

Qualifications:
- Basic Requirements:
- United States Citizenship: Citizens of the United States.
- Experience and Education Experience. Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; or Education. One year above high school; or Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level.
- Certification: None required. May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).
- Grade Determinations:
- Experience. One year of experience equivalent to the next lower grade level GS-6 Advanced Medical Support Assistant grade level.
- Duties at this level include, but are not limited to: working collaboratively in an interdisciplinary coordinated care delivery model. Work involves specialized administrative judgment and the flexible use of a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or care in the community resources. Recommends changes to existing clinic procedures based on current administrative guidelines. Expertise in utilizing numerous advanced patient systems in support of multiple clinics involved in an interdisciplinary coordinated care delivery model. Coordinates with the patient care team to review clinic appointment availability (utilization) to ensure that clinic schedules are closely monitored to effectively support the needs of the clinics, and makes adjustments as necessary.
- MSAs at this level develop and/or maintain effective and efficient communication with the patient, interdisciplinary coordinated care delivery model teams, VA medical centers, and other agencies (e.g., assist with communications during the inpatient to outpatient discharge; communicate with non-VA medical facilities; prepare correspondence to notify patients of normal lab results; manage a system for follow-up care such as consults, tests, etc.)
- Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate the KSAs below:
- Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources.
- Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting.
- Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines.
- Skill in communicating with individuals to obtain the desired effect [and coordinating with a variety of interdisciplinary care team staff.
- Ability to provide staff development and training.
- Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs.
- This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work across multiple clinics.
Physical Requirements: Work is performed in an office setting and is primarily sedentary. May require lifting and carrying of light loads (e.g. files, records, etc.)
Education: There is no substitution of education for experience at this grade level.
