Administrative Support Specialist

The Administrative Support Specialist provides administrative services for the TRIO Student Support Services & Student Engagement departments. The Student Support Services project is designed to assist students who are low-income, first-generation college students, and/or disabled, persist through WSU Tech programs and graduate or transfer to a 4-year institution. This person must be exceedingly well-organized and enjoy the administrative challenges of supporting TRIO personnel and students.

Your day-to-day responsibilities will vary, but are not limited to:

  • Provides administrative support to the TRIO and Student Engagement departments. Including but not limited to, performing general administrative duties, answering phones, basic accounting, copying, faxing, mailing, and filing.
  • Develops, implements, creates, manages, reviews, and summarizes miscellaneous reports, documents and data, using software such as Microsoft Word, Excel, PowerPoint, Publisher, SharePoint, and Outlook as well as other College specific platforms on a regular basis.
  • Maintains knowledge of all College programs and resources; maintains academic records and information on the WSU Tech intranet.
  • Recommends textbooks and other instructional materials including classroom and laboratory equipment to Dean/Director.
  • Maintains office calendar to coordinate work-flow and meetings.
  • Receives visitors at the TRIO front desk and is initial point of contact for guests, to greet, welcome and assist with questions/services.

The Administrative Support Specialist is a grant-funded position, and renewal of this position and funding of it is dependent upon successful receipt of federal grant funds from the Department of Educations TRIO Student Support Services program. The funding commitment for this position is 50% TRIO, and 50% Student Engagement.

Education:

  • High school graduate or equivalent, required. Associate degree preferred.

Preferred Experience & Skills:

  • At least one year’s experience in a professional office setting, administrative or reception work required OR work closely related to the position required.
  • Prefer experience working with disadvantaged students/families, first-generation higher education students, low income or individuals with a disability.
  • User-level knowledge of Outlook, Word and Excel is required. Knowledge of SharePoint is preferred.

  • Excellent written and verbal communication skills with ability to effectively communicate with others from diverse backgrounds & departments across the College.
  • Excellent customer service skills.
  • Effective time management skills, including the ability to manage multiple projects and meet deadlines in a timely manner, and the ability to prudently prioritize tasks, projects and goals.
  • Collaboration with students, administration, faculty and staff, and other professionals with a strong commitment to the education & success of students.
