As a Business Operations Specialist within the Procurement Operations team, you coordinate remote onboarding and guide workers and suppliers through clear checkpoints to ensure day-one readiness. You train supplier points of contact, broker stakeholder calls to remove blockers, and resolve inquiries with timely updates. You maintain accurate documentation and continuously improve processes to enhance first-time-right outcomes and cycle times. You collaborate across teams with inclusive, professional, and conversational communication.
Job responsibilities:
- Facilitate live, remote onboarding sessions covering milestones, requirements, and day-one readiness.
- Train supplier points of contact on registration, submission standards, and change/extension workflows.
- Guide workers and suppliers through end-to-end checkpoints, including documentation, screenings, and access provisioning.
- Broker cross-functional calls between internal stakeholders and suppliers to remove blockers and align owners.
- Manage an inquiry/ticket queue; triage, resolve, or route issues and provide timely, accurate updates.
- Identify breaks in process and handoffs; perform root-cause analysis, implement interim workarounds, and escalate risks.
- Maintain clear SOPs, quick-start guides, and FAQs; keep materials current as processes evolve.
- Track and report cycle times, SLA adherence, fall-outs, and bottlenecks; surface trends and recommended actions.
- Ensure adherence to documentation standards and data privacy requirements throughout onboarding.
- Coordinate day-one readiness, including equipment, access, and stakeholder confirmations.
- Drive continuous improvement to streamline steps, reduce rework, and improve the first-time-right rate.
Required qualifications, capabilities, and skills:
- Strong verbal and written communication skills that simplify complex processes for diverse audiences.
- Experience facilitating remote training or onboarding sessions with workers and/or suppliers.
- Experience in contingent workforce onboarding, HR operations, supplier enablement, or comparable process operations.
- Proficiency with case/ticketing systems and basic reporting using spreadsheets or dashboards.
- Ability to lead cross-functional calls, influence outcomes, and drive follow-through without formal authority.
- Proven troubleshooting and problem-solving skills; comfortable mapping processes and pinpointing failure modes.
- Strong organization and prioritization; able to manage multiple cases, deadlines, and stakeholders.
- Ability to create clear process documentation, SOPs, and training content.
- Working knowledge of data privacy and information handling practices relevant to onboarding.
- Flexibility to support cross-time-zone supplier sessions when needed.
Preferred qualifications, capabilities, and skills:
- Experience with vendor management systems (VMS) and supplier onboarding/enablement.
- Familiarity with identity and access provisioning workflows and day-one access coordination.
- Exposure to background screening coordination and documentation requirements.
- Experience measuring and improving operational metrics (e.g., cycle time, first-time-right, SLA).
- Experience applying continuous improvement methods (e.g., root-cause analysis) to operational processes.
- Experience working in large, matrixed environments with cross-functional dependencies.
- Confidence presenting to varied audiences and tailoring content for different stakeholders.
