Catering Service Manager

The Town Club is filled with unique landings for your respite after a long day, with the Rooftop Terrace that lets 13 stories mute the clamor of Downtown Los Angeles, or The Grill which brings signature dishes with fresh ingredients from our Urban Garden, meticulously paired with select wines from our expert sommeliers. With event and overnight rooms, gym, food, drink, and more, the Town Club is an oasis in the heart of one of the busiest cities in the world.

The Catering Services Manager is responsible on executing all aspects of event planning including corporate meetings, in house events, and social functions. They will manage the detailing process for all aspects of assigned events, enforcing the terms of the agreements and guiding clients through the planning process. Plan, organize and manage the details for all event bookings and in-house events. (i.e. BEO's, menus, diagram, billing, etc.) and ensure maximization of meeting space rentals, F&B spend, and profits while delivering quality service.

The Catering Service Manager is responsible for the following:

FINANCIAL RETURNS

  • Finalize the requirements of confirmed bookings with the client while maximizing revenue potential through up selling.
  • Negotiate with clients through the use of creative and attractive menu presentations and event proposals, to achieve both maximum revenue/profit potential and fulfillment of contractual responsibilities while satisfying client needs.
  • Ensure billing accuracy and conducts bill reviews with the clients prior to processing the final bill.

PEOPLE

  • Responsible for effectively communicating with the various departments to ensure that the meetings and events are executed to the clients expectations. Establish and maintain good communication and teamwork with fellow colleagues and other departments within the hotel.
  • Generate detailed BEO's and communicate with department heads.
  • Exhibits a positive and involved team attitude to all departments and maintains open communications with all coworkers for the best overall performance of the club.

GUEST EXPERIENCE

  • Develops strong client relationships through appropriate client communication and the use of professional, courteous and ethical interpersonal interaction.
  • Establish and maintain rapport with clients, prior to, during and post program, encouraging repeat business.
  • Constant presence and availability to client before, during, and after group program.
  • Take ownership of all service issues brought to your attention by guests and customers.

RESPONSIBLE BUSINESS

  • Manage definite event programs that are turned over by the event sales team; organize event programs from date of contract signing, billing, food & beverage planning and audio visual needs.
  • Manage all in-house events and club within the club events.
  • Promptly follow up on all customers' needs and inquires in an efficient and expedient manner.
  • Maintain well documented, accurate, organized and up to date file management system.
  • Display a neat, clean and business-like appearance at all times.
  • Coordinate outside vendor services (floral displays, audio/visual, etc.) where appropriate. Regularly follow-up to ensure set-up requirements meet client needs.
  • Perform other duties as assigned (guest room tours, property tours, special guest requests, maintaining calendars, answering phones and routing to appropriate sales staff, handling of mail, faxes, etc.)

QUALIFICATIONS AND REQUIREMENTS

High School diploma or equivalent plus 1 year experience in a sales/catering office or related field. Some College preferred. Must speak fluent English.

This job requires ability to perform the following:

  • Frequently standing up and moving about the facility
  • Type at least 50 wpm; proficient PC computer skills Carrying or lifting items weighing up to 25 pounds
  • Communicating with customers, employees, and third parties
  • Use a keyboard to generate correspondence, reports, etc.
  • Handling objects, products and computer equipment

Other:

  • Requires a working knowledge of banquet food and beverage services, policies or operations.
  • Excellent organizational skills and attention to detail required.
  • Ability to multitask and have excellent time management skills.
  • Must be courteous and gracious, maintaining a professional demeanor at all times
  • Excellent interpersonal and negotiation skills, has high energy and enjoys working with people.
  • Must be positive, result oriented and able to work well under pressure and guidelines.
  • Able to handle a large volume of guest interactions in an efficient and courteous manner.
  • Flexible work schedule if needed depending on event servicing requirements. May be required to work nights, weekends, and/or holidays.

Pay: $75,000/year
