HVACR - Junior Service Proposal and Tech Support

The resource supports the Sales Service HVACR team in the preparation of offers (repairs, retrofits, spare parts, maintenance, and Service Agreements/PSA) and provides first-level technical support to customers, contributing to speeding up the issuance of offers, improving the technical/financial quality of proposals, and reducing the resolution times of requests.

The role interfaces every day with internal and external functions to prepare complete, correct, and coherent offers from a technical point of view.

  • Service Sales for the preparation of offers and renewals, with attention to margins, contractual terms, and definition of the scope.
  • Customers to collect needs, clarify requests, and validate the information necessary for the offer.
  • Suppliers to obtain quotations, availability, and technical data useful for the definition of the proposal.
  • Field Service for technical comparison and the retrieval of documentation, parts, and information necessary for interventions and offers.
  • Digital/Connected Services to verify the operational context, when connected services are active.

1) Service Proposal (offers and estimation)

  • Collects and verifies technical/economic inputs (plant data, serial numbers, configurations, operating conditions, site constraints, accesses, safety).
  • Supports the construction of the offer: definition of activities, materials/spare parts, hours, logistics, subcontracting, technical notes, and assumptions (in/out of scope).
  • Contributes to the generation and submission of quotes through company tools (e.g., quote submission processes with GM expectations, where applicable).
  • Prepares commercial/technical text parts for Service Agreements on chillers and heat pumps (benefits: reduction of downtime, cost containment, speed of service, monitoring/maintenance/optimization).
  • Manages updates and tracking of the status of opportunities, ensuring completeness of documentation and correct steps towards internal contacts.

2) Technical Support (L1 / back-office technical)

Provides first-level technical support on recurring requests: identification of PED/technical documentation, thickness tables, materials, manuals, spare parts, clarifications on the scope of interventions.

  • Interfaces with internal/external functions (e.g., EMEA technical supports, factory/plant, customer service) to retrieve data not available locally and consolidate a usable response in the offer or in execution.
  • Supports the reading and interpretation of technical documents on chillers and refrigeration systems (refrigeration cycle, components, basic measurements/diagnostics), with attention to safety and procedures.
  • When applicable, directs and supports the use of references/guides for digital/connected services on Industrial Refrigeration & Heating (release notes, user guide, support contacts).

3) Continuous Improvement, Quality, and Knowledge

  • Contributes to standardizing offer templates, checklists, and recurring technical notes to increase "first-time-right" and reduce rework.
  • Supports the collection and structuring of technical feedback (FAQs, case studies, lessons learned) to strengthen the knowledge base and the team's response capability.

Technical Skills (Hard Skills)

  • Foundations of HVACR: refrigeration cycle, components (compressor, condenser, evaporator, expansion valve), lines, and main operating logics, Industrial Refrigeration (typical systems and components; refrigerants and plant logics) and Heat Pumps (principles and applications; operational differences compared to refrigeration only).
  • Ability to read/interpret technical documentation and safety and compliance requirements (work on equipment by trained personnel, compliance with regulations and procedures).
  • Familiarity with digital tools and structured documentation (guides, releases, internal catalogs) to support the service.
  • Good knowledge of main Office tools.

Cross-Functional Skills (Soft Skills)

  • Analytical approach and attention to detail (numbers, consistency scope–costs–assumptions).
  • Ability to communicate clearly (written and oral) with technical and non-technical interlocutors.
  • Internal customer orientation, priority management, and respect for deadlines.
  • Teamwork and proactivity in retrieving missing information by involving the correct channels.

Requirements (Titles/Experience)

  • Technical diploma (Technical/Electrotechnical/Mechanical Perito) or short degree in engineering fields (mechanical/energy/industrial) – or equivalent experience.
  • 0–2 years of experience (or internships) in HVACR/technical assistance/offers/technical office contexts.
  • Fluent Italian; technical English written and spoken (reading documents, exchanging emails with hubs/plants).

Performance Indicators (KPI) – Examples of measurable items

  • Lead time for offer issuance (time from request → draft → sending).
  • Quality of offer: reduction of clarification/rework requests; technical and documentary completeness.
  • Economic accuracy: budget vs. estimate deviation (where traceable).
  • Technical support: average response time and L1 resolution rate (e.g., documentation/parts/technical indications).
  • Contribution to operational efficiency (e.g., repair/billing indicators such as MTTR/DTI where used at the operations level).
