Student Records Administrator
We are seeking a Student Records Administrator who will be a member of the registration and academic records team for The School of Advanced International Studies (SAIS) within Johns Hopkins University. The Student Records Administrator is responsible for a combination of activities which may include course and room scheduling, graduation, registration, data reporting, academic records and grading, leave of absence and withdrawal processing, enrollment projections, and transcript and verification services.
The Student Records Administrator, under the supervision of the Director of Student Records, serves as the primary contact for the Registrar's Office, and is responsible for the registration and records process, data management operations and data integrity, and will be a data steward for the school/division. The Student Records Administrator will coordinate, evaluate, recommend, and implement data procedures in the student information system to ensure data is current, complete, and accurate.
Specific Duties & Responsibilities
- Coordinate the technology side of records and registration. This may include system configuration and setup in support of course maintenance, registration, add/drop/withdrawal, and grading.
- Coordinate the course and room scheduling process by collecting the information required, entering the data into the student information system, and proofing the system for accuracy.
- Assign and allocate classroom space.
- Coordinate course and section creation in the student information system and ensure that course descriptions and prerequisites are accurate.
- Edit and proof data to ensure accurate course numbers, descriptions, capacities, and prerequisites are maintained in the appropriate systems
- Ensure the integrity, accuracy, and security of all academic and student records; oversee maintenance of those records, which includes grade changes, transcript notes, program changes, posting transfer credits, name/SSN changes, etc. student enrollment records, waiver processing, and processing transactions related to academic actions
- Coordinate the resolution of data errors and the correction of information
- Review, recommend, and implement procedures in technical systems to ensure data quality. Test technology enhancements for the school/division.
- Provides support for graduation as needed.
- Other duties as assigned.
Minimum Qualifications
- Bachelor's Degree.
- One year of related experience.
- Additional education may substitute for required experience and additional related experience may substitute for required education beyond a high school diploma/graduation equivalent, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
- Two years progressively responsible experience in higher education administration and records management.
- Experience with student course scheduling software or similar systems.
- Familiarity with Family Educational Rights and Privacy Act (FERPA) and other federal and state laws/policies regarding student records confidentiality.
Technical Qualifications & Specialized Certifications
- Familiarity with Higher Education systems, and willingness and ability to learn additional applications as needed
- Proficiency in basic data management systems and basic computer applications (e.g., Word, Excel, Access, PowerPoint).
