Franchise Support Executive
Johnson & Johnson announced plans to separate our Orthopaedics business to establish a standalone orthopaedics company, operating as DePuy Synthes. The process of the planned separation is anticipated to be completed within 18 to 24 months, subject to legal requirements, including consultation with works councils and other employee representative bodies, as may be required, regulatory approvals and other customary conditions and approvals. Should you accept this position, it is anticipated that, following conclusion of the transaction, you would be an employee of DePuy Synthes and your employment would be governed by DePuy Synthes employment processes, programs, policies, and benefit plans. In that case, details of any planned changes would be provided to you by DePuy Synthes at an appropriate time and subject to any necessary consultation processes.
DePuy Synthes is recruiting for a Franchise Support Executive, located in Malaysia.
Job Responsibilities & Scope
- Franchise Support to Commercial Team
- Execute event management and end to end process for local based or overseas-based activities as well as digital-based virtual meetings
- Provide administrative and logistic support to event organisers and ensure all planned events are properly approved and executed successfully and compliantly.
- Manage and track A&P database and provide commercial team with updated and accurate events and expenditure status on regular basis and need-to basis
- Administer and process all internal processes such as HCC, Legal, Procurement ( eMP ), Travels & Meetings, and internal meetings
- Manage multiple dashboards and databases to manage and track A&P status
- HCC Compliance / HCC Life / Legal Contracting
- Proficient in HCC and Legal's compliance and regulation to ensure all events executed in full compliance
- Support and ensure proper and timely submission of event requests through HCC Life
- Obtain the relevant approval and prepare Legal contracting
- Liaise with third party stakeholders, HCPs, CMB
- Manage pre & post event documentation and archival for records and audit purposes
- Ensure contract execution is proper and timely and proper archival in ICD
- Procurement ( eMP )- PO and RFP
- Proficient in managing eMP, ARAVO, PO and RFP.
- Support to provide timely and accurate PR /PO and RFP requisition in eMP
- Conduct quarterly and year end accrual and PO closure
- Liaise with vendors for vendor registration, invoicing and payment
- Manage inventory, transportation, and delivery requests
- Financial Budget and Accrual
- Proficient in budget management, financial compliance, intercompany charges, cost centre and GLs
- Support to process IO requisition, familiar with IO system & approval
- Monitor and track IO and actual expenditure
- Develop and manage financial expenditure dashboard for business review on monthly or need to basis
- Conduct quarterly accrual and periodic IO requisition
- Overseas- based activities and Travel Support
- Prepare and record Travel Requisition for internal approval
- Arrange hotel accommodation, flight and visa application, restaurant reservation, booking round trips.
- Liaise with travel agents AMEX travel and BCD and business counterparts
- Prepare travel dockets
- Meeting and Event Support
- Provide dedicated onsite support at event including,
- Prepare & ensure all end-to-end logistics support are met
- registration, attendance, onsite management, post event closure
- Ensure meeting materials are prepared and provided promptly onsite
- Ensure event is conducted smoothly and successful as per planned

- Experienced in event management and is capable to organise physical and virtual meetings, including product launches, product trainings and conferences.

Minimum requirements
- Diploma - Degree Holder
- Minimum 3 years ' experience in marketing & administrative support in MedTech industry, preferably Orthopaedics business
- Experienced in event management in MedTech or Orthopaedics business portfolio (including new product launches)
- Knowledgeable in MedTech or Orthopaedics portfolio
- Experienced in onsite event support and virtual meetings
