Office Support Assistant

Office Support Assistant performs clerical duties by following established methods and routine procedures to ensure effective and efficient Division operations.

$15.98-$18.04 Based on direct transferable experience

Essential Activities:

Front Office Operations:

  1. Greet visitors and determine the purpose of their visit.
  2. Answer inbound calls and schedule patient visits.
  3. Provide general information and assistance.
  4. Assist in the completion of forms.
  5. Direct individuals to the appropriate destination.
  6. Receive and distribute messages accurately.
  7. Evaluate and schedule clinical appointments.
  8. Processes incoming and outgoing mail following established procedures.
  9. Prepare mailing materials, utilizing automated equipment when applicable.
  10. Operate standard office equipment proficiently.
  11. Maintain the cash drawer daily and accurately.
  12. Complete end-of-the-day deposits.
  13. Type a variety of materials as needed, utilizing a computer and general software.
  14. Provide patients with professional and exceptional customer service.

Records and Inventory Management:

  1. Establish, purge, and maintain filing systems.
  2. Prepare records for storage or archiving purposes.
  3. Enter, update, and retrieve information using automated systems.
  4. Compile and summarize data or reports from various sources following specific instructions or procedures.
  5. Review documents for accuracy, completeness, and compliance.
  6. Proofread completed work to ensure correctness.
  7. Maintain equipment and supply inventory.
  8. Keep records related to the receipt and issuance of materials or equipment.
  9. Prepare purchase and supply requisitions and other program or agency documents.
  10. Maintain Deputy Registrar status to issue vital records from the state mainframe.

Compliance and Quality Control:

  1. HIPAA Compliance
  2. Billing Compliance
  3. LPHA Vital Records Compliance

Performs other related tasks as assigned.

Qualifications & Education Requirements:

  • High School Diploma, GED or equivalent
  • 6+ months of clerical or general office support experience
  • 6+ months of EHR experience
  • 6+ months of cash-handling experience
  • Valid driver's license

Foundational Public Health Services: Ability to follow the Missouri Foundational Public Health Services model's capabilities and areas of expertise as necessary for this position.

Continuing Education: Although not mandatory, completing continuing education coursework is encouraged to maintain currency in the discipline. Additionally, emergency response training courses must be completed within established time frames, as identified by ordinance, statute, or administration. Annually, JCHD administration will require various coursework completions, not specific to any discipline, that is deemed beneficial to the organization as a whole.

Work Conditions: This position entails work that may be required at multiple locations, involving minimal lifting/carrying. Individuals should be prepared to work in reasonable adverse weather conditions such as snow, rain, or heat. All staff at JCHD are designated as first responders during public health emergencies.

Additional Notes: All JCHD employees are considered First Responders in a Disaster Response Situation. All employees must report for duty at the Director's request during a public health emergency.
