Location: Malaysia - Shah Alam

Job Purpose

Support the automated invoicing process by managing exceptions, following up with vendors, and assisting with simple issue resolution, while also supporting DA Services operations by performing standard job-level and DA-level quality checks, dispatching DAs, and assisting with query resolution.

Duties and Responsibilities

Vendor Services

  • Monitor automated invoice processing dashboards for exceptions and errors. Comply with customer accounting requirements.
  • Follow up with vendors on missing or rejected invoices post-automation.
  • Communicate with operators and vendors on actions required to resolve basic invoice issues, e.g. order/delivery of services
  • Update invoice statuses and service details in EyeShare where needed.
  • Escalate unresolved or recurring issues to mid-level team members, or Operators where relevant
  • Assist with logging and documenting common errors for process improvement.

DA Services

  • Monitor jobs in Optic, perform standard job-level quality checks following checklists.
  • Review DA drafts prior to dispatch for completeness, accuracy, and compliance with customer requirements.
  • Dispatch local job DAs to customers via email/principal portal
  • Dispatch Global & CLS job DAs to customers via Optic.
  • Log customer queries or disputes and escalate unresolved cases.
  • Update basic fields and DA records in Optic as per standard process.
  • Participate in process training and continuous improvement initiatives.

Knowledge

  • Minimum of Local Diploma from Maritime Studies or Accounts Studies or any other related Diploma and above
  • Finance or billing background is highly recommended.
  • Familiarity with DA processes or invoicing systems preferred.
  • Prior experience in Port Agency is preferred.

Skills

  • Attention to detail, high accuracy and ability to work with system dashboards.
  • Clear, polite written and verbal communication.
  • Ability to follow structured workflows and standard processes.
  • Eager to learn and develop technical system knowledge.
  • Basic problem-solving.

Experience

  • Minimum 1 year working experience in Accounts
  • Customer service focus
  • Experience of working to pre-defined processes, procedures and delivering work in accordance to SLA (Service Level Agreements)
