Accounts Payable/District Support (Anticipated)
Position Purpose: Provides administrative assistance and support to the District Office. Timely preparation of the district's accounts payable and other business operations with a high degree of responsibility, accuracy, discretion, and confidentiality, using independent judgment, in addition to methodical work routines necessary for the smooth and efficient operation of the office.
Essential Functions:
- Greet and assist visitors, providing a positive first impression of the District.
- Manage incoming calls.
- Maintain vendor profiles in the accounting software program (Software Unlimited) and ensure that proper documentation is in the vendor's file.
- Process purchase orders for the district.
- Serve as the first point of contact for staff and vendors seeking status on purchase orders and/or payments.
- Process all purchased items delivered to the District Office and mark them for distribution to the different buildings.
- Ensures all documentation is received from the vendor to ensure timely processing of payment.
- Prepares and processes payments in real time.
- Prints, processes, and mails checks for payment of invoices.
- Records and adds tuition payments for preschool students.
- Processes mail and other correspondence daily for the district.
- Reconcile district bank accounts monthly along with the Chief Financial Officer.
- Work with the Superintendent to prepare for various staff events.
Additional Duties:
- Performs other related tasks as assigned by the Superintendent and Chief Financial Officer.
- Participates in training, workshops, etc., as required for the purpose of conveying and/or gathering information required to perform job functions.
Travel Requirements: Travels to school district buildings and professional meetings as required.
Knowledge, Skills, and Abilities:
- Administrative and clerical procedures and systems, such as word processing, managing files and records, and office procedures.
- Strong written and oral communication and relational skills.
- Operate a variety of office equipment.
- Establish and maintain effective working relationships with staff, parents, and the public.
- Basic mathematical skills.
- Working independently, staying focused on tasks, and assuming responsibility for assigned projects and duties.
Physical and Mental Demands, Work Hazards: Works in standard office and school building environments.
Education: High School diploma or equivalent required. Post-Secondary degree or coursework in business, accounting, or finance is highly preferred.
Experience: Minimum of two (2) years of experience in Accounts Payable or an equivalent combination of training and experience. Knowledge of Accounts Payables, highly preferred.
