About the Role

You will support the daily operations of our facilities, ensuring a safe, efficient, and well-maintained environment. This role involves a blend of responsibilities, including implementing health and safety protocols, assisting with vendor and contract management, and supporting the facility's budget and strategic goals. The coordinator will be a key contributor to optimizing facility efficiency, managing projects, and ensuring regulatory compliance. The ideal candidate will be highly organized, detail-oriented, and capable of handling diverse tasks to support the Facilities Leadership team.

What You'll Do

Financial Management: The role is responsible for coordinating and maintaining the facility budget, which includes monthly reviews and reporting on actuals versus budget. The incumbent will assist with preparing annual operating and project budget projections and will liaise with the finance team on financial planning. The position also requires monitoring and reporting on facility spending, tracking regular and ad-hoc expenses, and assisting with budgetary requests and variance reporting.

Operational and Vendor Management: This position is a key liaison with vendors and suppliers, and assists with vendor contract management and the procurement process. The incumbent will coordinate office vendors and contractors, monitor and assess their performance, and help ensure all work is completed according to contract requirements. The role also involves supporting the optimization of daily operations and overseeing the receipt and storage of ordered goods and shipping logistics.

Safety and Compliance: The coordinator/manager will ensure compliance with health and safety regulations, including the company's EH&S program. The incumbent will assist in carrying out safety and emergency response activities, and may be required to respond to out-of-hours alarms and emergencies. The role also involves supporting the development of site-specific guidelines and policies, including business continuity planning.

Strategic Planning and Quality: The position assists the Facility Management Team with tactical planning for goals and objectives. The incumbent will help instill a culture of quality by developing, implementing, and maintaining Standard Operating Procedures (SOPs). The role also includes documenting processes and keeping maintenance records.

Project and Event Coordination: This role is involved in the coordination of large-scope capital projects and participates in their budgeting and planning. The coordinator also helps to organize small to large-scale events and provides ongoing assistance during these events.

Specific responsibilities will include, but not necessarily be limited to, the following:

    • Ensure compliance with health and safety regulations.
    • Ensure company's assets are safeguarded.
    • Ensure facilities are compliant with relevant regulations.
    • Respond to and resolve out of hours alarms and emergencies, if required.
    • Support the company's ESG waste & sustainability initiatives.
  • Efficiency & Operations 40%
    • Liaise with vendors and suppliers on behalf of department, as necessary and as required.
    • Assist Facility Leadership to ensure all work is completed in accordance with contract requirements.
    • Support the development and updating of site-specific guidelines & policies to ensure ongoing compliance and effectiveness including business continuity planning
    • Support the optimization of facility efficiencies for day-to-day operations.
    • Oversee the management of the receipt and storage of ordered goods and coordinate import/export shipping logistics, as necessary.
    • Assist the Concierge on daily functions as required.
    • Assist in carrying out safety and emergency response activities as directed.
    • Assist with measuring and reporting key performance indicators against service level agreements.
    • Assist with receiving, dispatching, and planning of work requests.
    • Assist with the coordination and scheduling of maintenance.
    • Participate in budgeting, planning and organizing for capital improvement projects
    • Ensure proper security measures for the workplace, including collaborating with security system vendors or a team of security professionals
    • Create reports on maintenance, repairs, safety and other occurrences for supervisors and other relevant staff
    • Prepare facilities for changing weather conditions
  • Finance, Quality and Strategy 50%
    • Coordinate and maintain the facility budget including monthly review and reporting on actual to budget favorability and current working estimates ("CWE")
    • Assist with the preparation and monitoring / reporting on the annual operating and project budget projections.
    • Liaise with Finance to facilitate budgeting and financial planning
    • Help instill a culture of quality, including develop, implement and maintenance of SOPs for operations
    • Document processes and keeping of maintenance records.
    • Conduct market research and compare costs and benefits when evaluating new vendors
    • Maintain an updated record of invoices from external partners (e.g. suppliers, insurance agents, security guards)
    • Assist Facility Management Team with tactical planning for the team's goals and objectives.
    • Assist finance team with PO and vendor invoice problems or issues.
    • Assist in the procurement of vendors and services as required.
    • Assist with budgetary requests, analysis and variance reporting including developing budget reports.
    • Help organize small to large scale events and provide ongoing assistance during events

Who You Are

  • A relevant degree with a minimum of 5 to 7 years of relevant experience in facility management, project management, business, or equivalent professional level experience.
  • A minimum of 2 years of experience in facility coordination, project management, or real estate.
  • Proven track record of positive performance in a related field
  • Superb communication and interpersonal skills
  • Awareness of OSHA and other environmental regulations
  • Knowledge of financial budgeting and reporting, general maintenance and operating methods related to facilities management
  • Must be a well organized, detailed and customer (internal and external) oriented self-starter
  • Strong procurement and contract management skills
  • Ability to effectively interface and build collaboration with third parties and service providers
  • Energetic self-starter with a highly proactive "can do" problem solving attitude
  • Agile at problem solving and multi-tasking
  • A service mindset
  • Proficiency in office software, such as Microsoft Word, Excel, and Outlook.
  • Excellent organizational and communication skills

Pay Range: $111,000.00-156,133.00 Annual
