About The Role

This role reports directly to the Head of Sales DACH and supports both regional and national sales activities in Germany, Austria and Switzerland. The main responsibilities include planning and executing sales events, congresses, and promotional activities in close collaboration with Key Account Managers, Regional Sales Heads, and the Head of Sales DACH. The role manages budgets, ensures logistical coordination, and oversees external vendor contracts. It also supports regional planning, meeting coordination, and administrative tasks. Compliance with industry regulations and accurate documentation are essential parts of the role. Close collaboration with international functions ensures alignment with global standards. This role is hybrid.

What You'll Do

Responsibilities:

  • Plan and execute sales events, regional congresses, and other promotional activities in collaboration with Key Account Managers, Regional Sales Heads, and Head of Sales.
  • Manage logistics, including venue selection, travel arrangements, and accommodation for participants.
  • Ensure timely delivery of event materials and promotional items.
  • Coordinate with vendors, speakers, and other stakeholders to ensure smooth event execution.
  • Oversee budgets for sales projects and events.
  • Monitor expenditures and ensure adherence to budgetary constraints.
  • Provide regular financial reports to Regional Sales Heads and the Head of Sales.
  • Collaborate with Regional Sales Heads and Head of Sales to plan and implement regional sales strategies and initiatives.
  • Plan and coordinate regional meetings in alignment with Regional Sales Heads.
  • Provide administrative support, including scheduling meetings and preparing reports.
  • Ensure that all sales activities comply with industry regulations and company policies.
  • Maintain accurate and up-to-date documentation for all sales projects and events.
  • Prepare and submit required reports to regulatory bodies when necessary.
  • Work closely with national and international colleagues and departments (e.g., Marketing, Finance, Compliance) to ensure alignment with global standards.
  • Ensure that international guidelines are effectively implemented in regional activities.
  • Manage contracts with external vendors and service providers.
  • Monitor payment processes and ensure accurate allocation of costs.
  • Assist in preparing forecasts and management reports.

Requirements

Professional Experience:

  • Minimum 5 years of experience in a similar position, such as Sales Coordinator, Event Manager, or Office Manager.
  • Experience in the pharmaceutical industry or other highly regulated environments is preferred.
  • Proven track record in event planning and customer relationship management.

Technical Skills:

  • Excellent organizational skills with the ability to manage multiple projects simultaneously.
  • Strong communication skills, both verbal and written.
  • Solid understanding of budgeting and financial reporting processes.
  • Proficiency in using office management software (e.g., SAP, Concur).

Language Skills:

  • Fluent in German and English, both spoken and written (minimum C1 level).

Soft Skills:

  • Team-oriented with the ability to work effectively with international colleagues.
  • High attention to detail and accuracy, especially in compliance-related tasks.
  • Strong problem-solving abilities and the capacity to work under pressure.
