We are seeking a Supervisor, Administrative Operations to join our Global Administrative Operations team. This role will be responsible for providing direct support to the Chief Operating Officer (COO) and the U.S. Site Leadership Team (SLT), as well as to designated members of the global Vice President group. In addition, the Supervisor will oversee and manage the local Administrative staff within the Global Administrative Operations team.

What You'll Do:

As a Supervisor, Administrative Operations, you will play a key role in supporting our Global Administrative Operations team:

Provides leadership to the Admin US team, including being a role model and owning/facilitating processes (as well as hands-on work). To prove/foster a global mindset is essential, alongside regular feedback to and joint developments with Admin Operations Germany. Regular interaction with other teams or departments is required. US Site news communication involvement via the Intranet is possible.

  • Supervising tasks include: Proactive scheduling for COO and SLT; if need be, for the CEO when he is in town. A strong focus is on preventing/resolving conflicts.

  • Travel management for COO and SLT; if need be, for the CEO when he is in town. This includes: Flights, rental cars, ground transportation, hotels, and restaurant reservations.

  • Managing the interface SAP Concur Travel/users.

  • Managing Board Meeting, L-Retreat and COO team building activities.

  • On behalf of COO and SLT point of contact for Immatics Germany and external visitors.

  • Conference logistics and membership maintenance for COO and SLT; if need be, for the CEO when he is in town.

  • Retrieval of signatures, both digital and wet ink.

  • Expense reporting for COO and SLT.

  • Monthly credit card reconciliation for COO and SLT.

  • Supporting P2P processing (PQ set up and tracking).

  • Managing Company Apartment bookings.

  • Maintaining polite and professional communication via phone, e-mail, and mail.

Secondary Functions:

  • Interaction with external business partners.

  • Adhere to the administrative policies and procedures that align with the organization's goals and objectives.

Required Experience and Education:

  • Advanced knowledge of Microsoft Outlook.

  • Knowledge of SharePoint.

  • Experience with supporting C-Suite personnel.

  • Experience booking Corporate domestic and international travel.

Preferred Experience and Education:

  • Experience using SAP Concur.

Work Environment:

This position is primarily sedentary (at least 50% of the time) and performed in a professional office environment. The role involves frequent use of standard office equipment such as printers, copiers, scanners, and computers. The work environment is fast-paced and dynamic, with frequent interruptions and shifting priorities. Moderate noise levels may be present. The ability to sit, walk, talk, hear, and communicate effectively in both verbal and written form is required. Occasional lifting of objects up to 25 lbs. may also be necessary.

Travel Required:

Travel is required between Houston sites and, if need be, annually overseas to Immatics Germany.

Physical Demands:

  • Communicating Verbally – expressing or exchanging ideas by means of the spoken word to impart oral information to others to convey detailed spoken instructions or other workers accurately, loudly or quickly.

  • Hearing – the ability to hear, understand, and distinguish speech and/or other sounds one-on-one, group or conference, telephone, and other sounds.

  • Keyboarding – entering data or text into a computer or other machine by means of a keyboard. Devices include a traditional keyboard, 10 key-pad, touch screens and others.

  • Lifting - raising or lowering an object (up to 25 lbs) from one level to another (includes upward pulling). Carrying is to transport an object – usually by holding it in the hands or arms but may occur on the shoulder.

  • Near Visual Acuity – clarity of vision at approximately 20 inches or less (working with small objects, reading small print, including the use of computers).

  • Pushing – Exerting force upon an object so that the object moves away from the object.

  • Pulling – Exerting force upon an object so that the object moves toward the force.

  • Sitting – remaining in a sitting position for at least 50% of the time.

  • Standing/Walking - remain on one's feet in an upright position at a workstation.

  • Stooping – occasional bending the body downward and forward by bending the spine at the waist - requiring full use of the lower extremities and back muscles.

  • Flexibility and adaptability: Adapts quickly to changing priorities and shifting deadlines.

  • Must be able to work independently and as part of a team and be willing to take on new tasks as needed.
