Admin Support (Non-Clinical)

We are seeking an experienced and highly professional Executive Assistant to provide comprehensive administrative and personal support to a Senior Level Executive or Henry Ford Medical Group Chair. This role requires exceptional organizational skills, discretion, and the ability to anticipate and manage the needs of a dynamic executive office. The Executive Assistant will handle a wide range of confidential and complex administrative responsibilities, serving as a key partner in ensuring the smooth operation of executive-level functions.

Key Responsibilities:

  • Provide high-level administrative support, including preparing correspondence, reports, and presentations in final form.
  • Manage calendars, scheduling meetings, conferences, and appointments while prioritizing competing demands.
  • Coordinate domestic and international travel arrangements and prepare detailed itineraries.
  • Organize and oversee events and executive meetings, ensuring seamless execution.
  • Receive and interact with internal and external visitors, maintaining a professional and welcoming presence.
  • Coordinate and oversee special projects, gathering and analyzing data to prepare confidential reports.
  • Perform data entry and management, maintaining accurate records and files.
  • Monitor budgets, track expenses, and perform semi-complex calculations for reporting purposes.
  • Draft and proofread correspondence, ensuring accuracy, clarity, and confidentiality.
  • Handle sensitive information with the utmost confidentiality, exercising sound judgment at all times.

  • 5–7 years of progressively responsible administrative experience supporting senior-level leadership.
  • Strong ability to draft, proof, and edit reports, correspondence, and presentations.
  • Proficient typing skills (50+ w.p.m.) and advanced knowledge of Microsoft Office and related software.
  • Excellent interpersonal and communication skills to interact with a wide range of influential internal and external stakeholders.
  • Strong analytical and organizational skills, with the ability to manage multiple priorities and deadlines.
  • Proven ability to exercise discretion and maintain confidentiality in handling sensitive matters.
