Service Operations Specialist – Americas
A Hempel Service Operations Specialist plays a vital role in supporting Hempel's Service Organization across the Americas. This role schedules and assigns all service jobs in the region, including work for major clients and projects that cross country borders, and provides full administrative support to the service team including Coating Advisors and Service Managers. The role also covers monthly invoicing, financial analysis, and process improvements to ensure operational excellence, efficient resource allocation, and exceptional service delivery.
What you'll need to successful in the role:
- Work Order Management and Dispatch
- Efficiently dispatch Work Orders across the Americas, including GKAM and cross-border assignments.
- This role schedules and assigns all service jobs in the region using the Field Services Manager software, including work for major clients and projects across different countries, and provides full administrative support to the service team.
Financial & Reporting
- Oversee monthly invoicing for the Americas region.
- Prepare and analyze monthly financial overviews.
- Review and support monthly Sales of Services reports.
Operational Support
- Provide end-to-end strategic back-office support for Coating Advisors (CAs) on project requirements.
- Assist in building and developing the Operations team, including process design and optimization.
- Serve as a super user for technical service systems and tools, including training and best practice implementation.
Project & Administrative Support
- Manage administrative project tasks, including freelancer coordination.
- Support strategic projects, technical service activity rollouts, and adherence to service standards across all countries under scope.
- Ensure compliance with Group policies, guidelines, and tools in the Americas region.
- Provide assistance to Coating Advisors in complex or unusual cases.
Health, Safety, and Environment (HSE)
- Follow all Group HSE procedures and guidelines to maintain a safe and compliant work environment.
Key Success Criteria / KPIs
- Timely and efficient dispatching of Work Orders.
- Accuracy in internal invoicing.
- Continuous development and optimization of service tools and systems.
Work Relations
- Sales, Finance, and Customer Care teams in all countries under scope.
- Services team across the Americas
- External stakeholders (Customers, Owners, Marine Agents, Shipyard reps)
Qualifications & Experience
- Fluent in English (written and spoken) is REQUIRED for this role
- Minimum 2 years' experience in a similar role, or University degree (preferably in Industry, Marine, or Engineering).
- Highly organized and structured, with strong analytical skills and attention to detail, and able to work to tight deadlines.
- Strong coordination and stakeholder management skills, with the flexibility to adapt and work effectively both independently and in a team.
- Ability to perform under pressure in a fast-paced environment.
- Proficiency in Excel, PowerPoint, and Power BI.
