Reports to: VP of Development

The Annual Fund and Patron Services Coordinator holds a dual role: Serving and supporting H+H's donors and patrons, they manage the annual giving program and serve as support staff to the Development team. They are a key member of the box office team, selling subscriptions and providing customer service to ticket buyers, donors, and patrons. In this role, you will foster and ensure an exceptional donor and patron experience through intentional and thoughtful customer service and stewardship.

Responsibilities:

  • Annual Fund and Development:
  • Implement administrative and donor-related activities to ensure a successful Annual Giving program. The position manages day-to-day operations of the individual fundraising program.
  • Oversee H+H's individual annual giving program including direct mail, telefunding, e-mails, benefit fulfillment, donor cultivation and stewardship, and reporting/analysis.
  • Ensure the achievement of annual fiscal year fundraising goals for individual donors giving up to $10,000 per year.
  • Develop and implement solicitation and stewardship strategies for approximately 1,300 individual annual donors below $2,500 in conjunction with development staff, President and CEO, and Board members.
  • Direct department-wide efforts to broaden the individual donor base.
  • Coordinate all development communications with the Marketing and Communications Department to ensure consistency of voice and message.
  • Define data segmentation for appeal communications to inform, engage, connect, and solicit current, lapsed, and prospective donors.
  • Collaborate with Content Marketing Manager, Data and Reports Analyst, and Development Associate for donor appeal segmentation through Prospect2.
  • Coordinate and manage benefit and incentive fulfillment for all donor benefit levels.
  • Manage Giving Tuesday campaign with the goal of achieving year-over-year increased support.
  • Manage and grow Continuo, our monthly giving program, incentivizing long-term engagement and increasing donor retention.
  • Manage Donate2 online giving platform content.
  • Work with the telefunding manager to manage telefunding campaigns.
  • Assist with check and mail process.
  • Enter and track data, pull reports, and analyze information utilizing our CRM, Tessitura.
  • Assist with maintaining constituent records accuracy Tessitura.

Patron Services:

  • Serve as a greeter and representative both for phone calls and in-person visitors, deliveries, etc., and maintaining the Box Office as a friendly and welcoming environment for any visitors.
  • Complete Patron ticketing needs in a courteous and professional manner, including executing single ticket, merchandise, and subscription sales over the phone, in person, and via email, and executing and mailing physical tickets, ticket donation acknowledgment letters, parking passes, and other mailings as required.
  • Staff phone queue at set times and days during the week and serve as primary phone queue team member during concert weeks.
  • Part of the Patron Services team providing superior at-hall experiences, assisting with front of house, and managing the Patron Services Info Table (P1).
  • Other duties as assigned.

Qualifications:

  • Bachelors degree and at least three years of customer service, development, arts administration or equivalent experience are preferred. Proven track record of success managing or supporting Annual Fund or similar programs and fundraising events. Ability to perform in a dynamic work environment, meeting multiple deadlines and managing multiple projects. Ability to work weekends and evenings for H+H concerts and events. Professional, creative, and flexible. Excellent people, organizational, verbal, writing, database, computer, and systems skills. Ability to exercise sound judgement and discretion. Proficiency in Microsoft Office, Google Suite, and Tessitura preferred. Experience with office procedures and practices and ability to work in a fast-paced setting with a variety of people.

Compensation: $55,000 - $60,000
