Green Spoon Sales is looking for a positive, passionate, and detail-oriented Operations Coordinator based in the greater Austin, TX area to be a part of our Whole Foods Market Team! This position requires employees to utilize a home office.

Responsibilities include but are not limited to:

  • Operational Execution and Reporting
    • Pull, analyze, and share routine reporting from the WFM Supplier Portal, including average pricing, voids, and other ad hoc requests
    • Maintain, update, and distribute trackers in accordance with established workflows, coordinating with content owners to ensure accuracy and timely reporting
    • Serve as a liaison between the WFM team and internal Business Intelligence team, coordinating requests and ensuring smooth flow of information and adherence to best practices as needed
  • Process and File Management
    • Maintain key aspects of internal WFM digital systems (e.g. SharePoint) to ensure files are current and accurate, and audit select external systems like the WFM .coms for accuracy and updates
    • Regularly update core files such as brand lists, APLs, store lists, and WFM reference documents
    • Audit and organize master files and trackers on a recurring basis to uphold accuracy and efficiency
  • Team and Cross-Departmental Coordination
    • Plan and coordinate weekly team meetings and quarterly in-person working sessions
    • Assist with onboarding and training of new team members
    • Collaborate across departments to ensure alignment on WFM priorities and deliverables
    • Support special projects (Monthly Focus, Expo planning, Supplier Showcase, reporting initiatives)
  • Other Duties
    • Contribute to departmental projects and evolving business priorities as directed
    • Adapt to shifting needs and take ownership of new tasks that arise in support of the WFM team
    • Provide occasional coverage for WFM teammates during PTO to ensure continuity of operations and brand support

Qualifications & Skills:

  • 3-5+ years of relevant experience in operations, administration, and/or data/reporting roles
  • Prior experience in CPG, grocery, or food/beverage industries strongly preferred
  • Experience supporting national or HQ-level accounts is a plus, preferably WFM
  • College degree preferred, or equivalent combination of experience and skills
  • Ability to lift 25+ lbs for occasional sample handling and event support
  • Ability to attend quarterly team meetups, meet required volunteering hours, and visit WFM Austin HQ as needed

Requirements:

  • Highly motivated, proactive, and adaptable with a solutions-oriented mindset
  • Strong problem-solving and analytical skills with exceptional attention to detail
  • Excellent time management and organizational skills with the ability to manage multiple priorities
  • Proficiency in Microsoft Office and confident learning new systems
  • Strong communication skills with the ability to build and maintain relationships across teams and external partners, while thriving in a remote environment through active participation in virtual meetings and collaboration platforms (Teams, email, etc.)
  • Passion for the natural and organic products industry, with an appreciation for the broader community and environmental impact (GS is a proud 1% for the Planet partner)
