Operations Manager For Law Firm
This position oversees the financial, administrative, and strategic functions of a busy family law practice and serves as the firm's primary operational leader. The role ensures that attorneys and staff have the systems, information, and support necessary to operate efficiently, maintain procedural compliance, and deliver a high standard of client service.
The position integrates responsibilities commonly performed by an operations director, controller, human resources manager, and legal operations manager within a professional services environment. The role works directly with firm leadership to manage financial systems, personnel management, internal processes, and strategic initiatives that support the firm's stability, performance, and long-term growth.
Responsibilities include:
Firm Operations:
- Oversee day-to-day operations of the law firm, ensuring systems, workflows, and administrative processes run smoothly;
- Maintain internal procedures, policies, and operational documentation;
Controller:
- Oversee firm billing processes
- Review ledgers, billing entries, and trust account activities;
- Oversee trust accounting administration, including deposits, refunds, and transfers
- Monitor client retainer balances, create reports, and follow up with attorneys
Legal Support/Management:
- Assist paralegals and attorneys with case management systems and workflow organization
- Monitor deadlines, filings, and case progression
- Maintain and improve case management procedures, document systems, and processes
Client Relations:
- Ensure high standards of client communication and responsiveness
- Oversee and improve client intake systems
- Assist with billing questions and account management
Human Resources, Recruiting, Onboarding, and Training:
- Lead recruiting efforts for attorneys, paralegals, and administrative staff
- Create job descriptions, hiring materials, and screening processes
- Communicate with applicants and schedule interviews
- Make and execute hiring and firing decisions
- Develop and implement employee onboarding, training, monitor performance, and provide personalized training as needed
- Maintain employee records and compliance with employment requirements
- Conduct periodic case reviews and provide ongoing coaching and professional development
- Conduct annual performance reviews, providing recommendations to firm leadership regarding compensation and bonus opportunities
Strategic Projects:
- Identify opportunities to improve firm systems, processes, and efficiency
- Implement technology and workflow improvements
