Fleet Services Back Office Specialist

As a Fleet Services Back Office Specialist, you will manage the loading and administration of fleet contracts while supporting fleet service providers and customers, with a strong focus on creating and maintaining vehicle assets in Salesforce. It includes full ownership of master data for FOS fleets – such as customers, vendors, contracts, pricing, vehicles, and tire inventories – and requires regular manual updates aligned with vehicle movements and hardware or tire installations. The role also tracks a high volume of monthly tire changes and follows up with customers and service providers regarding unauthorized jobs or fleet update confirmations. Additionally, it ensures sub assets are created according to installation protocols, particularly during decommissioning, damage assessments, and component swaps.

What You'll Do

  • Load and administer fleet contracts while supporting fleet service providers and customers, with a focus on creating and managing vehicle assets in Salesforce.
  • Maintain full ownership of master data for FOS fleets, including customers, vendors, contracts, pricing, vehicles, fleet lists, and unmounted tires.
  • Manually add installed hardware and tires, create corresponding Salesforce assets, and update records based on vehicle movements (new arrivals, decommissioning, etc.).
  • Track and record a high volume of tire changes each month, maintaining accurate interim asset data for the entire fleet.
  • Follow up with customers and service providers regarding unauthorized or unapproved jobs and obtain confirmations for fleet updates.
  • Ensure sub-assets are created according to installation protocols, with special attention to decommissioning, damage handling, and swap processes.

What We're Looking For

  • Bachelor's degree in Business Administration.
  • 1–2 years of experience in a Back Office or Front Office environment.
  • Fluent proficiency in English.

  • Knowledge of Salesforce and SAP is a plus.
  • Excellent verbal and written communication skills in English, with an additional language depending on the cluster.
  • Strong ability to follow established procedures and sequential processes with high attention to detail.

  • Collaborative team player with strong interpersonal skills and the ability to build effective working relationships.
  • Demonstrated ability to work independently, take initiative, and manage tasks proactively.
