Role Overview

The first point of contact within the HR Team, playing a key role in supporting day-to-day HR operations, ensuring smooth management of HR admin and processes, and providing administrative assistance to the EMEA HR Team. Providing a friendly, professional and efficient service to everyone who interacts with the HR Team.

Key Responsibilities:

  • Support the EMEA HR Lead with organising meetings, coordinating diaries and liaising with external parties as required.
  • Act as a first point of contact for HR-related queries from employees and assist with resolving HR issues. Provides guidance on routine HR queries; escalates employee relations, performance, and policy interpretation matters to the EMEA HR Lead.
  • Acts as an initial intake point for ER queries and supports documentation and coordination, but does not independently manage formal ER cases.
  • Maintain and update employee records within the HR Information System (Workday), ensuring data accuracy and compliance with GDPR.
  • Manage the onboarding process for new employees, including preparing onboarding materials and conducting induction sessions.
  • Provides administrative payroll and benefits (including health insurance, pension schemes and other perks) support in partnership with external vendors and Finance; responsible for data accuracy and coordination, not payroll sign-off.
  • Prepare and maintain HR reports, such as attendance records, turnover, and other key HR metrics.
  • Supports the preparation and administration of employment documentation in line with local requirements and under guidance from HR leadership.
  • Works closely with the EMEA HR Lead and collaborates with the international HR team to ensure alignment and responsiveness. Supports various ad-hoc HR projects and administrative tasks as required.
  • Carry out any other reasonable duties as commensurate with the role and responsibilities, including supporting the broader International HR Team on occasion and specifically the International HR Director.

Experience, Qualifications, Attributes

Essential

  • Highly organised and detail oriented with excellent communication and interpersonal skills
  • Proficient in the use of Microsoft Office applications and HR Information Systems, for compiling and presenting management information
  • Fluency in English and German both written and oral
  • Previous experience of working in EMEA
  • Flexibility to travel as and when required internationally to suit the needs of the business

Desirable

  • Previous experience of working in an international team
  • Previous experience in an HR administrative or coordinator role or a relevant HR qualification is advantageous
  • Personable, friendly, efficient and effective in nature
