Administrative Support Specialist
Position at Glidewell Dental
Essential Functions:
- Provides administrative support for all areas of Operations including but not limited to fleet, parking, restaurant, cafeteria, janitorial, etc. requests.
- Administers access-related assignments including but not limited to parking, building/facility, card replacement, EV, access verification, etc.
- Maintains communication and coordinates with vendors, attendants, management company and appropriate departments regarding garage parking activations, deactivations, violations, and updates.
- Oversees, receives, process, maintains, and fulfills physical and online order requests for GL store, restaurants, cafeterias, vending machines, janitorial, and assigned departments.
- Responds and supports operations-related inquiries; partners with appropriate and/or escalates requests as needed.
- Generates, maintains, updates, and distributes Operations reports.
- Coordinates activities related to anonymous text suggestion hotline; forwards to the appropriate team and responds to text as needed.
- Coordinates employee, office, department, and facility relocations with appropriate departments (e.g., janitorial, facilities, IT, etc.) to ensure a smooth and efficient transition.
- Assists in the creation and development of name tags, posters, flyers, etc.
- Receives, submits, processes, and reconciles ordering requests for assigned department such as Cafeteria, etc.
- Utilizes accounting software (e.g., QuickBooks) to track, reconcile, organize, and archive invoices for designated operation expenses; submits vendor payment accordingly.
- Updates and maintains restaurant and cafeteria menu including new menu items, drinks, supplies, etc. into Universal Desktop; maintains, updates, and ensures accuracy of priced items.
- Assists with planning, coordination, and the execution of various company events and assigned projects.
- Provides support for designated company events by responding to event inquiries, developing template/resignation/forms, works with IT department to set-up registration booths, and additional assignments as necessary to ensure a successful event.
- Facilitates parking orientation.
- Drafts, sends, collects, and tracks all parking related documentation including but not limited to policies, assignments, violation, updates, construction, etc.
- Travels to various facilities, banks, stores, etc. as needed to complete assignments.
- Oversees Executive kitchenette, ensuring sufficient supplies and replenishing accordingly.
- Performs other related duties and projects as business needs require at direction of management.
Education and Experience:
- High school diploma or equivalent, preferred.
- Minimum three (3) years of administrative experience or related experience.
- Proficiency in Excel required.
- Experience with accounting software such as QuickBooks, preferred.
Pay Range: $19.90/hr - $26.59/hr
