Job Overview

The Shared Services Administrator is a member of the Shared Administrative Operations (SAO) team within the College of Arts & Sciences' Dean's Office. The position assumes independent management of the day-to-day operations for a variety of programs and departments within the College. The position serves as a resource to these departments/programs on university human resources and faculty appointment policies and procedures; handles payroll, purchasing and accounts payable matters; oversees complex administrative processes and the day-to-day operations of these departments/programs; and provides full administrative support to the Chairs/Program Directors, faculty and students. Reporting to the Director of Administrative Operations, the Shared Services Administrator duties will include:

  • Providing support to the Chairs, Program Directors, faculty, and students within the College's departments and programs.
  • Serving as the main point of contact for faculty and staff and other university administrators and interacting with persons and organizations conducting business with the departments/programs.
  • Serving as a key resource on University Human Resources and Faculty Appointment policies and procedures, and handling HR-related administration in these departments/programs, such as hiring, onboarding, and termination paperwork, and payroll support.
  • Administering and reconciling purchasing, accounts payable, and other financial matters.
  • Planning events and designing all marketing materials for these events.
  • Maintaining, updating, and developing the respective website.
  • Coordinating space requests for teaching, events, program activities.
  • Handling logistical arrangements for the faculty travel and guest scholars visiting the University.

Work Interactions

The Shared Services Administrator interacts with all persons and organizations that conduct business with the departments and programs they support, including faculty, staff, students and guests. The position works most closely with the Department Chair/Program Director of each unit to oversee the daily operations and implementation of short and long-term plans. The position will also frequently interact with the Dean's Office, Provost's Office, Registrar, University Information Services, Office of Global Services, and other partner offices. The administrator maintains professional, cordial working relationships with all members of the department and all others who visit and conduct business with the department in support of the research, instructional and service missions of the units.

Requirements and Qualifications

  • Bachelor's degree with at least 3 years of professional work experience – preferably in an academic setting.
  • Experience in managing administrative operations, leadership and budgetary oversight.
  • Proficiency in Microsoft Office Suite, with particular emphasis on Excel (e.g., pivot tables, VLOOKUPs, macros) and experience and/or familiarity with managing database queries.
  • Strong communication skills.
  • Ability to learn quickly, be flexible and act resourcefully.
  • Ability to work both independently and collaboratively.
  • Familiarity with website management, social media and related analytics preferred.
  • CourseLeaf, Cognos and Workday (Georgetown Management System) system experience preferred.
  • Knowledge of Georgetown University financial and human resources procedures preferred.

Pay Range: The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is: $44,022.00 - $73,406.80 Compensation is determined by a number of factors including, but not limited to, the candidate's individual qualifications, experience, education, skills, and certifications, as well as the University's business needs and external factors.
