USAT Newsroom Operations Specialist

USA TODAY is seeking a highly capable and proactive Newsroom Operations Specialist to support newsroom executive leadership with a blend of high-level administrative, operational, and project management responsibilities. This role is ideal for someone who thrives in a fast-paced environment, demonstrates strong business acumen, and can operate with discretion, independence, and strategic foresight. The ideal candidate will go beyond traditional EA duties to help drive operational efficiency and cross-functional alignment. This position has no direct reports. It is an in-person role that reports to the Senior Vice President of USA TODAY, based in the USA Today Washington, DC office.

Responsibilities:

  • Provide executive- and manager-level administrative support including calendar management, travel coordination, and meeting preparation.
  • Act as a liaison between the executive and internal/external stakeholders, ensuring timely communication and follow-up.
  • Lead or support special projects and operational initiatives across departments.
  • Monitor and manage key business workflows, ensuring deadlines and deliverables are met.
  • Prepare executive-level presentations, reports, internal newsletters and briefing materials.
  • Provide any necessary support for staff meetings (such as our monthly All Hands and Content Town Hall sessions) to include document prep and basic technical support.
  • Coordinate team operations such as onboarding, invoicing, and vendor management.
  • Identify and implement process improvements to enhance team productivity and collaboration. This includes identifying and potential training on automation and AI technologies to assist in organization, speed, communication and workflow.
  • Maintain confidentiality and handle sensitive information with discretion.

Requirements:

  • Certifications or other relevant academic degrees in business administration, office management or related field or equivalent combination of education and experience.
  • At least one year of experience supporting senior executives, with exposure to operations, project management, or business administration.
  • Exceptional organizational and multitasking skills with a proactive mindset.
  • Strong written and verbal communication skills.
  • High proficiency in Microsoft Office Suite and collaboration tools (e.g., Teams, SharePoint, Asana).
  • Ability to work independently, anticipate needs, and exercise sound judgment.
  • Experience in media and content.
  • Familiarity with executive-level reporting and operational planning.
  • Comfortable navigating ambiguity and shifting priorities.
