The incumbent performs varied and diverse duties requiring basic knowledge of office management systems and procedures under the supervision of the Office Operations Supervisor. Clerical duties may be assigned in accordance with office procedures and include a combination of scanning and purging Environmental Records. Has good rapport with staff and clients, positive attitude and is flexible, approachable and accepts change readily as evidenced by lack of substantiated complaints/confrontations with staff and clients. Promotes the department as a positive caring community organization through courteous behavior toward all clients and co-workers. Adheres to established Health Department policies and procedures.
Provides day-to-day scanning and purging Environmental Health records by:
- Assembles records, prepares records to be scanned into appropriate computer file names. Purging of records by creating a list on existing purge log. Organizes and maintains filing systems. Scans Pool and General Permit plans by using a special scanner and stores files in appropriate computer files.
- Maintains proficiency with software applications/programs and other office equipment commonly used by the department (i.e., EARS/HMS, Outlook, EHD, Oculus, Word, Excel, copier, shredder, fax, label maker, printer, scanner).
- Assists with other duties as directed by supervisor.
Other related duties as assigned:
Attends approved training and enters Employee Activity Records (EARS) data every Thursday by close of business (COB). Possibility of being assigned to work in a Special Needs Shelter or at another clinic site as needed. In the event of a disaster, reports for duty during and/or after the disaster, as directed. The incumbent will be required to use his/her personal vehicle.
Required knowledge, skills, and abilities:
- Ability to operate commonly used office equipment such as computers, printers, fax machine, label maker, paper shredder. Ability to use Microsoft Office products (Outlook, Excel, Word, Access, PowerPoint).
- Knowledge of general office procedures and practices.
- Knowledge of correct grammar usage.
- Knowledge of basic arithmetic.
- Ability to prepare reports and correspondence.
- Ability to plan, organize and coordinate work activities.
- Ability to follow instructions.
- Ability to review data for accuracy and completeness.
- Ability to perform basic arithmetical calculations.
- Ability to communicate effectively.
- Ability to lift up to 25 lbs
- Ability to establish and maintain effective working relationships with others.
Qualifications:
- Minimum: A high school diploma.
- Preferred: One year of secretarial and/or clerical work experience. Vocational/technical training in the area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for the required work experience.
Other job-related requirements for this position:
- Emergency Duty: Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.
- Confidentiality: Incumbent may have access to records containing Social Security numbers in the performance of their job duties.
