This position serves as a Human Services Program Analyst for the Clinical Health Services Division providing high-level administrative support in a confidential capacity. Acts as a liaison for the Division supporting the Medical Services, Dental Services, School-Based Health Clinics, Health Care for the Homeless, and Public Health Preparedness Programs. Duties of the position include:
Maintaining schedules/calendars for the team.
Arranging and scheduling meetings, trainings, and interviews as needed.
Preparing agenda items and informing attendees and guests of meeting time and location. Preparing minutes of assigned meetings in a timely and accurate manner.
Preparing and reviewing letters, memos, reports, and other correspondence.
Maintaining procedures and forms for Division.
Receiving incoming mail for Division and distributing for action and resolution.
Receiving incoming calls for division and independently responding to inquiries and issues including client complaints, and promptly referring to qualified individuals for action and resolution.
Updating division web pages, contact information, staff emergency contact information, position descriptions, and CAPs.
Maintaining an effective, up-to-date record retention/filing system.
Preparing and placing purchase requests and P-Card orders and processing invoices for payment.
Receiving invoices from vendors including laboratories for the Division and processing for payment within required timeframes.
Serving as liaison for vendors and the purchasing department.
Assisting in the monitoring of budgets.
Serving as a contract manager for the Division with responsibility for preparing, negotiating, reviewing, routing, processing invoices, and monitoring assigned contracts.
Providing backup administrative support to the Director's Office as needed.
Performing other related duties as assigned including emergency duty.

Ability to carry out assignments for Director.
Ability to process invoices for payment.
Qualifications:
Minimum: High School Diploma
Experience providing high-level administrative support to a manager level position or above
Experience with purchasing related duties, including processing invoices for payment
Preferred: Three or more years customer service experience
Experience working in a medical clinic environment, including knowledge of medical terminology.
Experience working with state systems including MFMP, WORKS, and/or STMS
Contract management certification
