The Bureau of Medicaid Data Analytics examines critical aspects of Floridians' health, health care services and costs, and is vital to managed care rate setting, health care economics, and health plan evaluation. This position is responsible for acquiring and maintaining knowledge about the Medicaid program in general, the functional responsibilities of all offices within the Bureau of Medicaid Data Analytics, AHCA rules, regulations and procedures that affect office management practices, personnel issues, safety operations and regulations, as well as the specific responsibilities and authority of the Bureau Chief.
The incumbent in this position assists the Bureau Chief by handling the daily administrative/operational functions of the Chief's office & bureau. This includes maintaining the Bureau Chief's schedule and setting up meetings. The incumbent is also responsible for a variety of assignments from the Bureau Chief that require special research, coordination among the sections within the bureau, and situations where confidentiality is involved. The incumbent will serve as the bureau's personnel liaison. The incumbent will handle all human resources correspondence, including but not limited to; preparing hiring packets, classification action requests, personnel action requests, position descriptions, creating and routing forms for signatures, and keeping the bureau up to date on all human resources related information. The incumbent in this position is responsible for assisting with purchasing and budget and in doing so must exercise discretion, considerable independent judgment and initiative. Organize and maintain a correspondence-tracking system (CorrFlow) for all work products (including but not limited to logging assignments, contracts, correspondence) originating outside of the bureau for review/approval/dissemination to section administrator and/or division/agency management. Ensure that all work products for review/approval are logged and routed appropriately and tracked through to completion of the review/ approval process. Responsible for routine office purchases for entire bureau. Places orders for needed supplies, equipment, services, etc., on a routine and yearly basis through MFMP. Close out purchasing by sending appropriate paperwork to Finance and Accounting or electronically and use of FLAIR programs. Responsible for the approvals and all records regarding bureau staff P-card usage. Acts as coordinator of support staff: Assures smooth operation of the clerical group to work in concern with one another, provide back up to each other, and completion of all tasks associated with the clerical needs of the Bureau for Medicaid Data Analytics. Assist in the infrastructure activities to include, but not limited to: Secretarial support; all travel related functions for all staff; purchasing of goods and services; copying and distribution of information and mail; answering telephones; receiving and routing visitors appropriately, etc. Prepare travel authorizations and travel reimbursements for Bureau Chief and other members in the bureau. Assists in identifying items to be put into surplus, completes forms, and coordinates pickup. Property Delegate for annual OCO inventory of bureau equipment. Coordinates and is responsible for providing access to the online SMMC Drive, FTP site, and FLMMIS as applicable. Performs other related duties as assigned. This is an anticipated vacancy. MINIMUM QUALIFICATIONS REQUIREMENTS • Two years of professional experience using MS Office software applications, including: Word, Excel, Outlook, PowerPoint, etc. • Preference will be given to candidates who have experience working with budgets, MyFloridaMarketPlace (MFMP), tracking public information requests, and maintaining inventory/property/confidential records. • Preference will be given to candidates with an associate's degree or a more advanced degree from an accredited college or university.
