Operations Coordinator

We are looking to add a diligent, dependable Operations Coordinator to our team. This role plays an essential part in the smooth operation of our organization by supporting our team members in a variety of areas on a day-to-day basis. The Operations Coordinator is responsible for administering general office management, overseeing travel coordination, and supporting our security protocols and compliance by serving as the Assistant Facility Security Officer. The ideal candidate will be detail oriented, able to consistently meet deadlines, and willing to learn new skills to successfully excel in this role.

Key Responsibilities

Office Management:

  • Manage the NVRC Panama City Office reception area by ensuring a neat, tidy, welcoming space for employees, teammates, visitors, and customers
  • Greet guests upon arrival and complete the sign-in process according to security protocols and regulations
  • Maintain accurate, up-to-date records and logs regarding building access, conference room bookings, and security events
  • Oversee the inventory of all office supplies, including ordering, stocking, and organizing to ensure all team members have the necessary resources
  • Provide support for meetings and events by completing local errands such as pick-ups and deliveries

Travel Coordination:

  • Prepare and manage travel estimates for NVRC team members tasked to travel by the government
  • Communicate with our contract partners to revise travel estimates as needed
  • Assist NVRC team members with travel reimbursement forms to ensure they are prepared accurately and submitted timely
  • Ensure OCONUS travel-related actions are completed as required (completing SPOT deployments/LOAs, completing APACS, etc.)

Security: Under the direction of the NVRC Facility Security Officer (FSO), function as the Assistant FSO (AFSO) with duties including but not limited to:

  • Tracking required training completion
  • Submitting visit requests for travelling team members
  • Supporting annual certification requirements
  • Assisting with completing required forms for new and existing team members' clearances and security matters

On the job training will be required and provided to successfully perform these job duties.

Required Minimum Qualifications

  • Ability to professionally interface with fellow employees, teammates, customers, and visitors
  • Excellent oral and written communication skills
  • Excellent proficiency with Microsoft Office Suite; especially Excel, Word and PowerPoint

Required Education, Certifications, and Length of Experience

  • HS Diploma required, Associate's degree or higher in business or related field preferred
  • 3+ years of experience in office management or related relevant role, highly preferred (Experience in a government contracting environment is a plus.)

Travel Requirements No travel is required for this position.

U.S. Citizenship Requirements Due to our contracts with the U.S. federal government and the requirement for a security clearance to perform this role, candidates for this position must be U.S. Citizens.

Clearance Type Required Candidates must be able to obtain a Secret clearance, existing clearance highly preferred.
