Your specific responsibilities:
- Provides direct operational support to the Environmental Public Health Director, including typing letters and answering phone calls.
- Assists Environmental Public Health Director and supervisors within the Division with personnel and position classification actions as requested.
- Prepares prescreening, interview, and final candidate packets for all hires. Works with HR to ensure all hiring paperwork is completed and jobs are posted. Contacts and schedules applicants for interview.
- Keeps all interview and screening forms organized by program and position title in folders on the public drive.
- Ensures emergency rosters and fire drill documents for the division are updated monthly.
- Participates in employee recognition programs by printing certificates, welcome signs, and name plates.
- Maintains the departmental organizational chart and updates the chart monthly, ensures accuracy of staff and position titles.
- Schedules and coordinates departmental meetings, arranges locations, contacts speakers, creates agendas, ensures all audio/visual technology is working for meetings, arranges for CEUs for staff.
- Assists in planning the annual Polk Environmental Public Health preparedness meeting.
- Works cooperatively with all clerical staff and supervisors across the Division.
- Conducts cell phone drills monthly for all staff that have state cell phones and reports findings in monthly report. Reports any issues to the Environmental Public Health Director promptly.
- Tracks vehicle GPS reports and acts as liaison with Verizon to maintain and/or add new GPS units to vehicles. Provides GPS reports and updates in monthly report.
- Assists staff and supervisors with STMS and travel. Independently reads and understands DOH travel policy to assist staff in preparing travel. Acts as Travel Champion for the division.
- Works in FIRS to assist director and supervisors in monitoring budget and expenses. Assists department supervisors in annual budget planning as needed.
- Pulls reports from EHD weekly to provide to director and supervisors to monitor inspection quotas, re-inspections, and complaints.
- Assists director in data collection and basic analysis for strategic planning and other departmental metrics.
- Assists in EHD data clean up projects and database migration for Polk.
- Records management - works with director and program supervisors to ensure records are dispositioned according to records retention schedules. Inputs record data into approved systems and works with information security to dispose or file records per retention rules.
- Works easily with databases and can create complex Excel spreadsheets to monitor and record records for disposition.
- Must have ability to focus on complex data entry projects ensuring accuracy and timely completion.
- Understands records retention set forth by the department and can work independently on projects. Able to work in TEAMS and Share point databases with others.
- Conducts a minimum 250 customer satisfaction surveys annually for the Water, Facilities, and DEP programs. Logs responses in an Excel spreadsheet and provides survey results in monthly report and communicates directly to Environmental Public Health Director any issues identified.
- Coordinates and communicates community outreach educational material.
- Sends emails to community partners such as realtors, day care facilities, schools, and the general public.
- Manages public requests for Radon kits by keeping kit numbers in an Excel spreadsheet and logging kits that are distributed.
- Locate and book Radon outreach functions, coordinate with epidemiology staff as needed, provide all details on set-up, arrival, tables, break-down for functions.
- Attend Radon Program outreach functions including working at the booth to educate the public on Radon.
Other duties & responsibilities: Perform special assignments, research, and associated work as required. Participate in Disaster Preparedness as necessary.

Qualifications:
- Valid Florida Driver's License or the ability to obtain one within 30 days of employment.
- Preferred: Higher education in business, program operations, statistics, program research, engineering, or administrative.
- Preferred: 2-3 years' experience in government or business operations/administration.
- Required: High School Diploma or GED
