We're seeking an Office and Customer Service Manager to oversee daily operations, facilitate vendor and customer relationships, and ensure a 5-star experience for every client.

As our Office and Customer Service Manager, you'll be the central point of our operations—balancing office management, customer service, scheduling, vendor communication, and administrative tasks. Responsibilities include:

  • Booking flooring appointments and setting up the sales team.
  • Reviewing new jobs and work orders.
  • Joining daily calls with Design Associates to review schedules.
  • Confirming appointments, checking voicemails, and returning calls.
  • Receiving deliveries and updating the Production Calendar.
  • Calling new leads and sending customer texts.
  • Updating Customer Payment Summary, Hyfin, and Salesforce with jobs and payments.
  • Sending final payment requests, Care & Warranty details, and Google review links.
  • Collecting before-and-after project photos.
  • Communicating with vendors and reps about product details or pricing.
  • Supporting customer inquiries throughout the day.
  • Supporting the owners with Quickbooks and job costing.
  • Supporting the owners with marketing initiatives.

Key responsibilities include:

  • Building and maintaining strong vendor and customer relationships.
  • Posting social media accounts and assisting with local marketing.
  • Tracking and submitting expenses and receipts; maintaining customer folders.
  • Assisting with job costing and payment tracking.
  • Supporting sales staff with weekly reporting, meetings, and customer order reviews.
  • Ordering products accurately and following up on deliveries.
  • Obtaining written permission for any changes in contracted work.
  • Updating InspireNet daily and submitting GS&R Prep forms weekly.
  • Managing sample inventory and assisting with research/sourcing.
  • Tracking inventory for stocked items.
  • Helping plan and support 6–12 events per year.
  • Assisting customers in the Design Studio when needed.
  • Acting in alignment with Floor Coverings International's core values and mission.
