HR Manager

Job Description

Purpose of the Role:

To lead in the execution of all HR matters for all employees in the respective Zone.

Key Accountabilities/Individual Accountabilities:

Staffing:

1. Manpower Planning

  • Liaise with HOD station in Zone on manpower planning and arrangement for replacement or new position.
  • Liaise Staffing Lead on manpower requirement based on budgeted or unbudgeted

2. Recruitment for all vacant positions

  • ERF process
  • Place advertisement in Zone and compile resume
  • Interview & Selection together with HOD
  • Summary the successful candidate for obtaining approval
  • Familiarization program
  • Keep track on staff confirmation & send all documents needed for staff confirmation to Lead/Executive Staffing.

3. Exit Staff

  • Handling exit interview for all positions level based on Policy/SOP

4. Transfer

  • Liaise with Staffing Lead on internal transfer/placement/job rotation requirement.

5. Talent Management

  • Liaise with Staffing Lead on Succession Pipeline program
  • Liaise with HOD on any requirement require from talent Succession Pipeline program
  • Ensure execution and follow up progress of Talent Management process
  • Management succession planning for all position level in Zone
  • Ensure execution of Personal Development Plan as planned for successor.
  • Carried out Talent Resource Meeting at Zone level (involve HOD at Zone level) for identifying the pool successor for critical position.

6. FTE

  • As a liaison officer in Zone for FTE matter
  • Ensure execution and follow up progress of FTE exercise

7. Learning & Development

  • Identify training program for the successor and talent based on the succession planning.
  • Liaise with HOD in order to identify suitable in-house training program for all level and prepare yearly training plan for zone level.
  • Follow up staff developments needs and source external training as and when required.
  • Liaise with Staffing Lead/Executive Training to submit application for training approval complete with supporting document.

HR Operations:

Rewards:

  • Monitor the data accuracy and reliability of Workday and any related system for all employee.
  • Monitor the process of new recruitment documentation carried out accurately.
  • Monitor the process of employees travel claims, parking claims and mobile phone claims carried out accurately and smoothly.
  • Monitor the process of OPMS (Online Plantations Management System).
  • Provide data for staff overtime by or before 7th of the month.

Industrial Relation:

  • Handle disciplinary management process based on Policy/SOP.
  • Participate in any Disciplinary process in FGV Group Companies as and when required by HRBP, FGVSSSB.
  • Monitor attendance and pattern/long MC.
  • Provide data for Industrial Relations monthly report by or before 7th of the month.

Employee Relation & Communication:

  • Handle the issue/complaint from the employee and external party related to employee's matters.
  • Promote HR awareness to all employees related to GHC Policy/SOP.
  • Support and coordinate with HR Operations Lead on any HR Events.
  • Provide HR Communication platform in Zone
  • Update staff data for insurance purposes
  • Handle any application from staff related to allowances, unpaid leave
  • Provide information related to uniform
  • Arrangement documentation for flight ticket for Zone Sabah only.

Performance Management & Routine HR Activity in Zone:

  • Coordinate with HR Operations Lead on monitoring of KPI setting, quarterly review and calibration exercise during KPI final assessment.
  • Monitor and ensure all HODs conduct BEST/STAR feedback & coaching while performance quarterly assessment.
  • Execute HR Dept. activities efficiently and effectively.
  • Update monthly activity on HR matters to HRBP, R&D Division.

Performance Improvement Plan (PIP):

  • Monitor PIP exercise and submit the fortnightly progress report to HRBP, R&D Division.
  • Ensure PIP exercise carried out smoothly with proper manner.

Others:

  • All documentations issued in Zone need to copied it to HQ office.
  • Any HR task given by HBRP, R&D Division and CEO as and when required from time to time.

Qualifications and Working Experience:

  • Degree in business-related or human resource.
  • Diploma and having experience in human resources and administration-less than 3-5 years.
