Customer Service Assistant

This role is primarily responsible for processing incoming orders and arranging delivery transportation. Ensures excellent customer service experience by answering customer inquiries and solving problems. Routes and tracks essential communication from field sales/service concerning order status, freight inquiries, shipping commitments, and more. Provides diligent follow-up as needed to assure timely and accurate response to inquiries and resolution to issues.

Essential Job Duties

  • Utilizes computer systems and reports to receive and process orders for fulfillment, moves inventory orders for orders that have shipped.
  • Performs tracking using computer systems.
  • Engages in communications with field sales and service personnel, distributors, trucking and transportation agents and end user customers concerning their requests, questions, and directives.
  • Creates a Bill of Lading for each shipment and maintains a file system structure for required record retention requirements.
  • Coordinate and schedule trucks for efficient loading.
  • Provide freight quotes as required and maintains freight quote logs.
  • Communicate with the engineering, production teams and management as required.
  • Performs daily ship confirm process for billing.
  • Respond to inquiries in the customer service mailbox or escalate to appropriate contact.
  • Allocates and prints the drawing orders from Engineering.
  • Transacts inventory from the local warehouse to the corporate warehouse.
  • Email/Send copies of the customer orders and RO's to the shipping department.
  • Maintain an organized and clean work environment, including filing, shipped orders, receiver, debits, sundrys and miscellaneous items.
  • Process Export orders (when someone is absence)
  • Perform all related duties as assigned by supervisor.
  • Maintain compliance with all company policies and procedures.
  • Remain diligent to create a culture of safety in our workplace.
  • Employee may be required to work overtime as needed.

Required Qualifications - Required qualifications to effectively perform the job. An equivalent combination of education, training and experience will be considered. (Additional requirements may be designated by position.)

  • This position requires a high school diploma or equivalent.
  • Associate degree is preferred.
  • Two years' experience in an office setting preferred.

Knowledge, Skills, and Abilities - May be representative, but not all-inclusive, of those knowledge, skills and abilities commonly associated with this position.

  • Proficient in Microsoft Office products - specifically Excel, Word, Outlook, files sharing services.
  • Experience with transportation billing software is a plus.
  • Critical thinker with exceptional attention to detail.
  • Excellent customer service skills.
  • Excellent problem-solving skills.
  • Excellent communication skills, both verbally and in writing to many levels of internal and external contacts.
  • Ability to effectively organize and prioritize work as well as concentrate on multiple tasks simultaneously.
  • Ability to develop and maintain business relationships.

Work Environment - Environmental or atmospheric conditions commonly associated with the performance of the functions of this job.

  • General office conditions. Exposed to moderate noise levels.
  • Must be able to don PPE including hearing protection, safety boots, or glasses where required in the on-site manufacturing areas.
