Job Description
The Project Services Coordinator (PSC) provides project execution and administrative support for medical device testing and consulting engagements from initiation through completion. This role ensures projects are set up accurately in Eurofins' information management systems, that required project materials are complete and compliant (e.g., quotation, payment, samples, and documentation), and that project setup and execution are performed efficiently and proactively.
The PSC collaborates closely with Sample Administration, Operations, and Client Portfolio Managers to ensure seamless project starts, timely communication, and operational excellence across the Medical Device Services (MDS) network.

Key Responsibilities
- Create and manage project records in the laboratory information management system and supporting databases.
- Verify that all required materials – quotes, contracts, client purchase orders, payments, samples, and project information – are complete and correct prior to project setup. Proactively communicate the status of pending items to Client Portfolio Managers; hold accountability for their receipt.
- Coordinate with the Client Portfolio Managers and internal stakeholders to ensure projects are initiated accurately and on schedule.
- Maintain project documentation, timelines, and deliverables to ensure data integrity and traceability.
- Track project status and proactively follow up with internal stakeholders to remove blockers and maintain momentum.
- Manage sample/material receipt and verification alongside the Sample Administration Team.
- Downstream of Sample Administration efforts, confirm readiness for analysis and resolve any discrepancies.
- Identify opportunities to streamline workflows and enhance efficiency in project setup, data handling, and communication.
- Contribute to process documentation updates to support scalability across the MDS network.
- Demonstrate initiative in problem-solving and support cross-functional process improvement projects.
- Communicate clearly and proactively with Client Portfolio Managers regarding project status, sample readiness, and documentation needs.
- Participate in team meetings and provide updates on assigned project activities.
- Support the delivery of high quality, timely, and accurate client service.
- Facilitate client clarity by communicating administrative project logistics to Client Portfolio Managers.
- Ensure client requirements are understood, documented, and met in collaboration with Client Portfolio Managers.
Qualifications
Required
- 2-4 years of experience in project management, operations, or client services – preferably within a laboratory, technical, or regulated environment.
- Proficiency with Microsoft Excel and other project tracking tools.
- Demonstrated organizational skills and attention to detail.
- Strong written and verbal communication abilities.
Preferred
- Bachelor's degree in Business Administration, Management, Life Sciences, or related field.
- Experience with LIMS, CRM, ERP, or PSA systems (e.g., Salesforce, NetSuite OpenAir, Microsoft Dynamics 365).
- Exposure to medical device, pharmaceutical, or laboratory service industries.
- Basic understanding of project management methodologies or Lean/Six Sigma concepts.
