Fuel Equipment Operations Specialist

The Fuel Equipment Operations Specialist is responsible for the full lifecycle of fuel system equipment, including quoting, assembling, delivering, installing, servicing, and tracking fuel tanks and monitors. This hands-on and administrative hybrid role includes coordinating with vendors, managing customer contracts, and working cross-functionally with internal departments to ensure smooth operations. This position requires daily travel to various company and customer locations.

Essential Duties And Responsibilities

  • Coordinate and execute all aspects of fuel tank lifecycle management including quoting, assembly, delivery, installation, service, and asset tracking.
  • Install, troubleshoot, and maintain tank monitoring systems to ensure accuracy and regulatory compliance.
  • Coordinate outside vendors for equipment delivery, service, and maintenance as needed.
  • Track and manage customer contracts, including preparing and sending documents, recording gallon commitments, and maintaining accurate records.
  • Work closely with internal departments (e.g., sales, dispatch, compliance, logistics) to ensure efficient communication and smooth operational flow.
  • Maintain detailed documentation of equipment, site installations, service records, permits, and inspections.
  • Respond to service needs and equipment failures promptly, coordinating with vendors and internal resources to resolve issues.
  • Monitor and replenish inventory of fuel-related parts and supplies as needed.
  • Identify opportunities for process improvement, cost savings, or equipment upgrades.
  • Ensure compliance with applicable federal, state, and local regulations, including EPA, DOT, OSHA, and NFPA requirements.
  • Responsible for P&L, income statements, and invoicing.
  • Perform other duties as assigned.

Qualifications And Education

  • High school diploma or equivalent.
  • Minimum of 5 years' experience in fuel systems, petroleum equipment, or related field.
  • Strong understanding of fuel tanks, dispensers, monitors, and regulatory requirements.
  • Ability to read technical manuals, site plans, and equipment specifications.
  • Experience working with vendors, contractors, and field equipment.
  • Valid driver's license with clean driving record and willingness to travel daily to multiple sites.

Preferred Experience

  • Technical certification in fuel systems, HVAC, mechanical systems, or similar field.
  • Familiarity with systems such as Veeder-Root, Otodata, or Gilbarco.
  • Experience with contract tracking or document management systems.

Working Conditions

  • Position requires daily travel to customer and company sites.
  • Work is split between office-based administrative tasks and fieldwork, including hands-on equipment servicing and installations.
  • May involve lifting tools or equipment up to 50 lbs and working in outdoor or confined space environments.
  • Support budget tracking and financial planning related to fuel equipment operations.
  • Assist with reviewing and interpreting income statements to identify cost-saving opportunities.
  • Prepare, submit, and track invoices related to tank deliveries, installations, vendor services, and equipment purchases.
  • Collaborate with finance or accounting departments to ensure accurate expense reporting and financial documentation.

Work Authorization

Evidence of work authorization upon employment is required in compliance with the Immigration Reform and Control Act of 1986. Completion of USCIS form I-9 will be required in order to verify employment eligibility within 3 business days of the first day of employment.
