Job Title

The Local Project Administrator (PA) will be responsible for providing administrative support in the execution of project contracts and Long Term Service Agreements (LTSAs), ensuring contractual compliance, revenue recognition support, document control, client communication, and performance visibility. Working as an integrated member of the technical team, this role focuses on the administrative and financial obligations of contracts throughout their lifecycle.

This position requires alignment with Emerson's policies and procedures, compliance with local legislation (including tax and labor obligations), and the disciplined use of regional and global corporate tools to ensure traceability, control, and efficient contract and project management. As part of the role, the Local PA will also coordinate with the Project Support team based in Costa Rica, ensuring integration with local processes, delivery timelines, and company standards.

In this role, your responsibilities will be:

  • Monitor and control contractually defined billing milestones, ensuring the issuance of documents and invoices within deadlines.
  • Coordinate the collection of necessary information and documentation for revenue recognition, both for Percentage of Completion and Completed Contract agreements.
  • Monitor contractual clauses related to adjustments, penalties, and terms, ensuring administrative and financial compliance.
  • Maintain control of all mandatory administrative documentation (insurance, certificates, team data, licenses), distinguishing it from technical deliverables.
  • Support the preparation of administrative amendments and guarantee the traceability of contractual changes from a documentation perspective.
  • Act as the administrative point of contact with the client, ensuring clarity regarding payment milestones, contractual requirements, and administrative deliverables.
  • Feed administrative contract-related indicators (KPIs) and prepare supporting documentation for internal or external audits.
  • Ensure proper use of corporate systems (Oracle, SmartSheet, among others) for the management, control, and communication of administrative actions.
  • Collaborate with internal areas such as engineering, sales, finance, supply chain, and legal to ensure the flow and control of contractual administrative processes.
  • Coordinate and oversee the administrative activities carried out by the Project Support team in Costa Rica, ensuring alignment with local processes, delivery deadlines, and Emerson standards.

  • Minimum of 3 years' experience in administrative roles related to the execution of projects or industrial service contracts.
  • Knowledge of ERP systems, preferably Oracle, as well as administrative and financial management tools.
  • Proven ability in organization, document control, and monitoring of contractual obligations.
  • Familiarity with billing practices, contract management, and supporting revenue recognition processes.
  • Bachelor's degree in administration, Engineering, Economics, Accounting, or related fields.

Preferred qualifications that set you apart:

  • Previous experience with industrial automation contracts or LTSAs.
  • Familiarity with tax regulations and fiscal obligations in industrial contracts.
  • Experience with internal or external audits and preparation of supporting documentation.
  • Intermediate or advanced English for communication with global structures.
  • Knowledge of tools such as SmartSheet, SharePoint, or corporate workflow systems.
